Who This Fits

Brokerages or agents preparing standard disclosures by hand, then hunting for the signed copy months later when it is needed.

The Challenge

Disclosures were filled in from a template each time, emailed for signature, and then filed wherever the agent handling the transaction happened to file things. Finding a signed disclosure later meant asking the agent, and if that agent had left, searching a shared drive by guesswork. Nothing on the contact record indicated whether a disclosure had been signed at all.

The Solution

1

Merge Template Generation

Disclosures generate from merge templates populated with contact, property, and transaction data, with no retyping.

How it’s built
  • Writer merge templates per disclosure type
  • Merge fields mapped from CRM
  • Conditional sections by property type
  • Generate button on the record

2

Signature Routing Through Zoho Sign

Documents go out through Zoho Sign with signer roles and reminder cadence defined, so follow-up is not a manual task.

How it’s built
  • Sign templates with defined signer roles
  • Field prefill from the merge output
  • Automatic reminder schedule
  • Status visible on the CRM record

3

Automatic Filing on Completion

Once signed, the executed document downloads and files itself to the correct folder without anyone touching it.

How it’s built
  • Sign completion webhook to CRM
  • Function resolves the destination folder
  • Consistent naming from record data
  • Folder created if it does not exist

Shareable Link Written Back

A link to the executed document is written onto the contact, so the signed copy is one click from the record it belongs to.

How it’s built
  • Share link generated on filing
  • Link field on Contact and Deal
  • Executed date stamped
  • Permission-scoped access

Under the Hood Technical detail
Document Generation
Merge templates are maintained per disclosure type with conditional sections rather than as separate documents per scenario. When a form is revised, one template changes instead of several near-identical copies drifting apart.
Filing Function
A single function resolves the destination path from record data and creates the folder if it does not exist. That fallback matters because disclosures sometimes go out before the transaction record is fully set up, and a filing step that fails silently is worse than no automation.
Link Writeback
The share link is stored on the record rather than only in the folder, so the signed document is reachable from the CRM without knowing the folder convention. This is the detail that ended the practice of asking the agent.
Status Visibility
Sign events update a status field, so a report of transactions with outstanding disclosures is possible. Previously the only way to know was to check the signing inbox.
Notable Constraint
Some clients sign on paper. A manual upload path writes to the same folder, applies the same naming, and sets the same fields, so reporting stays complete rather than showing gaps for wet-signed transactions.

The Results

  • Disclosure preparation dropped from a manual template fill to a single click.
  • Executed documents file themselves with consistent naming.
  • Any signed disclosure is reachable from the contact record it belongs to.
