Who This Fits

Brokerages where speed to lead matters more than balanced distribution, and where agents already live in a team chat tool.

The Challenge

Leads were assigned by an office admin during business hours and sat unassigned outside them. Round robin distributed evenly but not quickly, since a lead could land with an agent who was mid-showing while three others were free. Agents who wanted to work a lead immediately had no way to take it, and the fastest responder was whoever happened to be watching the CRM.

The Solution

1

Lead Posted to a Cliq Channel

New leads post into a Cliq channel as a message card showing the details an agent needs to decide whether to claim it.

How it’s built
  • Workflow posts to Cliq on lead create
  • Message card with source, area, and price band
  • Channel scoped to the sales team
  • Posts within seconds of creation

Claim Lead Button

The card carries a Claim Lead button, and the first agent to click becomes the owner.

How it’s built
  • Button handler assigns ownership
  • First click wins, later clicks rejected
  • Card updates to show the claimant
  • Claim timestamp recorded

Assignment and Notification

Claiming sets ownership in CRM, notifies the agent, and starts the follow-up sequence without anyone touching the record.

How it’s built
  • Owner set on claim
  • Confirmation to the claiming agent
  • First-touch task created
  • Follow-up cadence started

Unclaimed and Reassignment Logic

A lead nobody claims does not sit forever, and a claimed lead that goes untouched can be released.

How it’s built
  • Timer on unclaimed leads
  • Escalation to a manager or fallback owner
  • Release path for untouched claims
  • Claim history retained on the record

Under the Hood Technical detail
Message Card Design
The card shows only what an agent needs to make a claim decision: source, area, price band, and timing. Contact details are withheld until the claim, which prevents the pattern where agents work a lead without ever owning it in CRM.
Race Condition Handling
The button handler checks and sets ownership in one operation, so a second click on an already-claimed lead is rejected cleanly and the card updates to show who took it. This is the part that has to be correct, because two agents calling the same seller is worse than a slow assignment.
Fallback Path
An unclaimed timer escalates to a fallback owner rather than leaving the lead in the channel. Without that, a lead arriving overnight or during a team meeting would simply scroll away.
Audit Trail
Claim time and claimant are recorded on the lead, which makes speed to lead measurable by agent rather than as a single team average. That reporting is what made the model defensible to agents who preferred round robin.
Notable Constraint
Claim-based assignment rewards availability, which can concentrate leads with the most responsive agents. A per-agent claim ceiling per day is available in the configuration for teams that need distribution to stay within bounds.

The Results

  • Leads are claimed in seconds rather than assigned in hours.
  • Speed to lead is measurable per agent, not just as a team average.
  • Nothing sits unassigned overnight because unclaimed leads escalate.
