Q: Can you add in a work drive folder to Documents?

A: Absolutely! It’s under the “Cloud” section when you click “New” in the Documents tab.

Q: Do you have tips on viewing/printing/exporting Gantt Charts? We are struggling with being able to see the big picture on screen.

A: When you’re looking at the Gantt chart, you can export it under the three dots in the top right of the page. It is the “Print” or “Convert to PDF” button.

Q: Can you change the term bugs to issue?

A: Totally! This can be done under Settings – Org Settings – Configuration – Rename Issues (Bugs)

Q: Can external clients see other projects?

A: They can only see Projects that they are assigned to.

Q: Do the documents uploaded have a threshold of how many docs each project can have?

A: There’s no limit for each Project, but the portal as a whole has a limit of ~100gb

Q: I have a custom process for my project management. Can I customize my workflow in Zoho projects?

A: You can customize the workflow to a certain degree, but Projects is locked to the cascade/waterfall project management workflow

Q: Is this similar to Airtable? Can we use Zoho Projects for the same thing?

A: It is similar, but not quite as flexible as Airtable. It comes with a ton of pre-built functionality, but being a spreadsheet, there are more options for formatting, etc. over in Airtable.

Q: We are trying to sort our Global Calendar to show which one of our subcontractors we have assigned to each project. Unfortunately, the subcontractors don’t have their own login for Zoho, so we can’t assign as a user. Are there any workarounds you can think of to help us sort the calendar (without having to add subs as Clent Users)?

A: Hmm… This is an interesting requirement. You could add a tag to Tasks, Events, etc. for each assigned subcontractor, then use that to filter your global calendar.

Q: Have Milestones been improved in Zoho? Previously they seemed disconnected from the tasks and wouldn’t complete even if all tasks were completed

A: Yep! Once all Tasks lists under a milestone are complete, the milestone should mark itself completed.

Q: How have you found the most success with setting up predecessors and successors? I find the drag and drop challenging in the Gantt view A: I find that it works best as a task by task basis. You can manually assign dependencies in the Task page and I find it a bit easier to work with. The best-case scenario is to set them up as milestone or task list templates with these dependencies pre-defined.

Q: Can the Projects calendar sync with other Zoho Calendars or Google Cal, or is it only standalone for Projects?

A: Yep! There are pre-built integrations for Zoho, Outlook, and Google calendars
