Client folders were created by whoever onboarded the client, named however they preferred. Contacts, deal documents, and signed agreements ended up in whichever folder was open at the time. Finding a signed engagement letter for a client onboarded two years earlier meant searching by partial name across a shared drive and hoping the right person still worked there.

Under the Hood Technical detail
Trigger Point
Folder creation fires on Account create rather than at first document, because the gap between those two moments is exactly when documents get misfiled. Creating a few unused folders is cheaper than any misfiling.
Folder ID Storage
The folder identifier is stored on the Account so later filing resolves the destination directly. Searching by folder name breaks the first time a client is renamed, which happens more often in finance than elsewhere.
Naming Function
One function produces both folder and file names, so the pattern cannot diverge between them. Client name normalization is centralized there, with the raw value retained separately for display.
Sign Integration
Filing is driven by the Sign completion event rather than a scheduled sweep, so the executed document is in place before anyone looks for it. A sweep introduces a window where the document exists but is unfiled.
Notable Constraint
Documents still arrive by email. A monitored intake folder holds unfiled items and the weekly review of that folder is a deliberate manual step, rather than pretending every path is automated.
