The Challenge
Commission reconciliation depended on carrier, upline, and issue-age data that only existed on the CRM policy record. Each cycle someone exported it, reformatted it, and loaded it into the commission platform. Advisors could not see year to date paid commission without asking, and upcoming policy anniversaries, which drive both commission and retention outreach, were tracked in a separate spreadsheet.

- Data Requirements
- Commission calculation depends on carrier, upline, product, and issue age together. Making all four mandatory at policy creation was the prerequisite, because a sync that pushes incomplete records produces reconciliation work rather than removing it.
- Sync Design
- Event-based push on create and update, with a scheduled sweep as a safety net for records changed while the API was unavailable. Event-only syncs fail quietly during an outage and the gap is discovered at reconciliation.
- Matching
- An external identifier is stored on the CRM policy after the first successful push so subsequent syncs update rather than duplicate. Duplicate policies in a commission platform are expensive, since they overstate expected commission.
- Anniversary Calculation
- Anniversary is derived from issue date rather than stored as a separate editable field, so it cannot drift. The rolling upcoming view is what turned anniversaries from a spreadsheet into a working queue.
- Notable Constraint
- Carrier statements do not always agree with calculated commission. The dashboards show calculated and paid side by side rather than only paid, so a variance is visible as a variance instead of being assumed correct.
