The Challenge
Stocking agreements were produced by copying the last one, editing the dealer details, terms, and product schedule, then emailing it for signature. Editing a previous agreement meant occasionally carrying over terms from the wrong dealer. Once sent, tracking was manual, and the CRM record showed nothing about whether an agreement was outstanding, signed, or never returned.

A Stocking Agreement button builds the document from the account and its terms rather than from the last agreement.

Under the Hood Technical detail
- Generation Source
- The agreement generates from structured fields rather than from a prior document. Copying the last agreement is the practice that introduced wrong-dealer terms, and no amount of care eliminates that risk while copying is the method.
- Signature Sequence
- Countersignature order is enforced in the Sign template, so the dealer signs before the internal signatory. Out-of-order execution created agreements that were internally signed and never returned, which is worse than unsigned.
- Status Source
- Status is driven by Sign events rather than updated by a person, which is why the outstanding report is trustworthy. A manually maintained status field would make the report as unreliable as the previous process.
- Coverage Reporting
- Agreement coverage by dealer became reportable, which surfaced several active dealers with no current agreement on file. That was not knowable before and had commercial and legal implications.
- Notable Constraint
- Some dealers negotiate terms that deviate from standard. Deviations are captured as fields where possible and as a rider where not, so the standard template stays standard rather than accumulating optional clauses for every negotiation.
