Renewal, reporting, and service quotes were built by hand from account and product records, which meant looking up which equipment a customer had, which software licenses applied, and what the previous quote said. Quote Generation
Three distinct actions rather than one generic quote button, because renewal, reporting, and service quotes carry different line item logic. A single button with a type picker sounds cleaner and produces a form nobody fills in correctly.
License Modeling
Licenses are records per product per account with independent dates rather than fields on the account. Seven products with independent terms cannot be expressed as account fields without either losing data or creating fields nobody maintains.
Alert Timing
Alerts fire at intervals before expiry rather than on expiry, and create renewal opportunities rather than only notifying. Notification alone was already happening informally and was not producing renewals.
Renewal Rate Visibility
Renewal rate by product became reportable, which surfaced that one of the seven products was renewing materially worse than the others. That was not previously knowable.
Notable Constraint
Installed product records were incomplete at the start, since the historical data was partly in a spreadsheet and partly in staff knowledge. The build included a reconciliation pass, and the license report shows accounts with no license record so the gap stays visible rather than reading as zero.
