Who This Fits

Schools or programmes running separate inquiry and applicant tracking, where advancement also needs the same constituent records.

The Challenge

Inquiries and Applicants were separate modules with overlapping fields, so a prospective family existed twice and progressing an inquiry to an applicant meant re-entering data. Advancement worked from the same families for fundraising but pulled donation records from a separate platform manually, so a family’s giving and their admissions relationship were never visible together despite being the same relationship.

The Solution

1

Consolidated Inquiries and Applicants

The two modules condense into one progression, so a family exists once and moves through stages.

How it’s built
  • Single module with stage progression
  • Fields consolidated and deduplicated
  • Historical records migrated into stages
  • Inquiry to applicant without re-entry
Zoho CRM
2

Donation Platform Sync

Donation records sync in automatically, creating or updating the contact rather than being imported by hand.

How it’s built
  • Scheduled sync from the donation platform
  • Contact matched or created
  • Gift records attached to the contact
  • Campaign attribution preserved

3

Unified Constituent View

Admissions relationship and giving history appear on the same record, which is what advancement needed.

How it’s built
  • Giving summary on the contact
  • Admissions stage visible to advancement
  • Household relationships modeled
  • Engagement timeline across both
Zoho CRM
4

Campaign Support

Segmentation for fundraising campaigns runs off the combined data rather than an exported list.

How it’s built
  • Segments by giving and affiliation
  • Campaign membership tracked
  • Acknowledgment automation
  • Results attributed back to campaigns

Under the Hood Technical detail
Module Consolidation
Inquiries and Applicants became stages of one progression rather than two modules, because they describe the same relationship at different points. Two modules forced either duplication or a conversion step, and the conversion step is where data was lost.
Contact Matching
Donation sync matches on email and name with a review queue for uncertain matches, rather than creating a contact per gift. Creating per gift is the default behavior of most donation imports and it is how a constituent database becomes unusable.
Gift Records
Gifts attach as records rather than incrementing a total on the contact, so giving history is inspectable and campaign attribution survives. This mirrors the reasoning used in donor migrations generally.
Cross-Team Visibility
Admissions stage is visible to advancement and giving is visible to admissions, deliberately. The organization decided that shared context outweighed the discomfort, and it was worth confirming that decision explicitly rather than assuming it.
Notable Constraint
Some donors are not families in the admissions pipeline and never will be. Those constituents live in the same contact structure with no admissions stage rather than in a separate module, so segmentation handles them by attribute rather than by location.

The Results

  • A prospective family exists once and progresses through stages.
  • Donation records sync in rather than being imported manually.
  • Admissions relationship and giving history are visible together.
