Inquiries and Applicants were separate modules with overlapping fields, so a prospective family existed twice and progressing an inquiry to an applicant meant re-entering data. Advancement worked from the same families for fundraising but pulled donation records from a separate platform manually, so a family’s giving and their admissions relationship were never visible together despite being the same relationship.

- Module Consolidation
- Inquiries and Applicants became stages of one progression rather than two modules, because they describe the same relationship at different points. Two modules forced either duplication or a conversion step, and the conversion step is where data was lost.
- Contact Matching
- Donation sync matches on email and name with a review queue for uncertain matches, rather than creating a contact per gift. Creating per gift is the default behavior of most donation imports and it is how a constituent database becomes unusable.
- Gift Records
- Gifts attach as records rather than incrementing a total on the contact, so giving history is inspectable and campaign attribution survives. This mirrors the reasoning used in donor migrations generally.
- Cross-Team Visibility
- Admissions stage is visible to advancement and giving is visible to admissions, deliberately. The organization decided that shared context outweighed the discomfort, and it was worth confirming that decision explicitly rather than assuming it.
