The Challenge
Before partnering with Zenatta, Prometis Partners struggled without a centralized CRM. The team had no efficient way to track or store account and contact information, manage sales projections, or connect marketing channels. Because their website and social media data weren’t linked, they also lacked visibility into lead engagement and client interest.
The Implementation
Zenatta worked with Prometis Partners through several phases to automate lead management, improve campaign workflows, and enhance visibility across marketing and operations. The solution combined Zoho CRM, Analytics, and Flow, integrating third-party tools, automating repetitive tasks, and simplifying how the team managed client data.
CRM & Workflow Automation
Zenatta rebuilt the CRM to manage Prometis Partners’ multi-channel data flows. The team added automation that created follow-up tasks whenever a contact opened three consecutive blog or podcast emails. This change ensured that highly engaged leads were always followed up on. New fields and dashboards also gave Vincent clear insight into quarterly deals, opportunities, and next steps.
WorkDrive & Document Management
To improve organization and collaboration, Zenatta developed automation linking CRM accounts to dedicated WorkDrive folders. Tasks and notifications were triggered automatically when files were uploaded, and a “Send WorkDrive Folder” button was added to CRM, allowing team members to instantly email clients a share link with upload access. This streamlined file sharing and ensured all client documents were stored securely and consistently.
ScoreApp Integration via Zoho Flow
Zenatta connected the ScoreApp assessment tool to Zoho CRM through Zoho Flow. When a prospect completed an assessment—such as Buyer Ready, Business Owner Dependency, or Leadership—the system created or updated their contact record, logged results as notes, added relevant tags, and assigned a follow-up task. This automation gave Vincent immediate visibility into prospect readiness and simplified the outreach process.
Zoom Webinar & Event Tracking
Zenatta also integrated Zoom Webinars with Zoho Flow. When someone registered for an event, the system updated their CRM record and tagged them with a new “Event Topics” field to track participation. This eliminated manual data entry and made it easier to segment and follow up with attendees through future campaigns.
Analytics & ROI Dashboards
To track marketing performance, Zenatta built a Sponsorship ROI Report in Zoho Analytics and embedded it in CRM. The dashboard displayed sponsorship performance alongside overall revenue trends, helping Vincent make informed investment decisions. Additional reports provided visibility into quarterly revenue and contact engagement metrics.

The implementation of Zoho One applications provided immediate structure and efficiency. With a reliable CRM and dashboards in place, Prometis Partners can now:
