LEOGANT, based in Berlin, transforms ordinary tap water into mountain spring quality. Their vision goes beyond water purification. They want to change how people perceive and consume water in homes, offices, and restaurants. As a certified B Corporation, LEOGANT values sustainability as much as design and premium quality. They see water as essential for health and well-being, not just a commodity. Their system combines a natural two-stage treatment with custom design, giving customers a unique, high-end water experience.
The Challenge
Since 2009, LEOGANT has positioned itself as an innovator. They constantly searched for advanced software that could keep up with their growth. Over time, their needs outpaced many of the solutions they tried, creating inefficiencies and integration issues.
Migrating software after more than a decade of legacy processes added complexity. LEOGANT evaluated several platforms, including Oracle, Sage, Weclapp, Salesforce, Scopevisio, and Odoo.
As an SME, they needed software that was:
- Cost-effective and customizable
- Mac-compatible
- Compliant with German tax and legal rules
- Independent of third-party agencies
Other must-haves included a wide range of functions, automation for their subscription model, an intuitive interface, and multilingual support.
After extensive research, Zoho emerged as the best fit. The only gap was the lack of a German tax-compliant accounting system.
Implementation
Subscription Management in Zoho CRM
- Statuses and Reminders: We built a system to track subscription status, send reminders, and automate renewals.
- Customer Flexibility: Clients can now adjust or pause subscriptions through a Zoho Form link in emails.
- Change Requests: Each client update creates a “change request record” in CRM, mapped to their contact and account.
Customer Record Maintenance
- Real-time Updates: CRM records update automatically based on activity in the subscription module.
- Bilingual Notifications: Clients receive communication in English or German based on preference.
Billing and Invoicing
- LEOGANT first used Creator for billing, but with the release of Zoho Books’ German edition, we began testing auto-invoicing.
Data Integrity and Task Automation
- Unified Contact Data: Contact info updates everywhere, regardless of entry point.
- Automated Tasks: Service, shipment, or other tasks now generate automatically from subscription details.
Document Management
- We moved all deal-related files to WorkDrive. This created structured, organized storage for critical documents.
Results
“Already during the setup of the software we were enthusiastic about the possibilities and the simple operation and easy customizability without code at Zoho. Some functions, however, we could not realize without an external partner, because this required expert knowledge and coding. For this we were looking for a partner.
Since we as users have no idea of the actual effort, but a good understanding of software and basic programming, we turned to the only German partner with our requirements for a straight forward customization from our point of view. When we received the offer from the German Zoho partner of over 50k, which we considered exorbitant, we went looking for agencies abroad. We got to know Zenatta through the very good content they offer online for free training. After a video call we asked for a quote. The offer was 10% of the amount offered by the German partner. Skeptical about the big price difference we decided to test Zenatta as a partner.
From the beginning, we were delighted with the advice, the ultra-fast problem detection and the development of solutions. Zenatta was able to understand our requirements in a very short time, translate them into software processes and even optimize them for us with their knowledge. What we particularly liked was that Zenatta from the beginning emphasized that we understand all the processes and that we as customers are able to grow with the software ourselves and gain an understanding of the customizations in order to refine them independently. We were not entangled in any dependency, which unfortunately all other agencies have always tried to do. Processes, offers, programming were otherwise always intransparent – not with Zenatta. We are extremely satisfied and have been using Zenatta for all customizations since then, as they enjoy our unrestricted trust.
