Code Share of the Week
Auto-Provisioning Zoho CRM Sharing Rules by Role
This one’s adapted from code written by Adam on our team, who needed a way to auto-create user groups and sharing rules based on a user’s role in CRM. Feed it a user ID plus their first and last name, and it looks up the user, checks their role, and if it matches something like a sales rep role that needs a custom sharing setup, it builds a user group and generates criteria-based sharing rules across the Contacts and Accounts modules. Any record where that user is the owner or a secondary owner field gets read, write, and delete access shared to the group automatically. It saves you from manually recreating sharing rules every time someone’s role changes or a new hire comes on board, and it all runs dynamically through the API.

Greg explained Zenatta runs on the Team plan specifically so the AskZenatta connector, now wired into Zoho Analytics instead of hitting CRM or Creator directly, can be shared across the whole team through one dedicated account.
