Implementation of the Week
- Automated Zoho Project Archiving via Scheduled Functions
- In this implementation, we’re working with a client that launches unique Projects Templates for various activities they perform for their clients
- This can result in quite a few projects being created on a regular basis, so archiving them appropriately is important to keep their list views clean
- To accomplish this, we set up a reference table in Zoho Analytics that displays Projects that are completed (all Tasks completed, no new Tasks created recently), but not archived
- Then, we set up a scheduled function that references this list of Projects via API
- Lastly, the function will use the surfaced data from Analytics to archive Projects in batches every 3 hours. This ensures that the client’s Projects environment stays clean and up-to-date
