7 Xero Alternatives

Compared on real US pricing after Xero's October 2026 increase, with one other option worth considering before you migrate: keeping Xero and fixing the integration.

Updated October 21, 2026 · 9 min read · Zenatta Consulting, Zoho Premium Partner

The Short Answer

Start with your users, then the features and add-ons you actually need. Xero includes unlimited users on every plan, a meaningful advantage for teams that need broad access. But it is not the only platform with unlimited users: Wave Pro and Patriot Accounting also offer models without per-user accounting fees, for different use cases.

Zoho Books is worth comparing for a smaller team that needs inventory, approvals and connected workflows. Professional includes five users and starts at $40 a month billed annually, or $50 billed monthly, against Xero Growing at $59 a month. Wave has a useful free tier for very small businesses. FreshBooks is a candidate for services teams primarily billing clients for time.

And if the complaint is that Xero does not talk to your CRM, jobs or quoting process, consider connecting it rather than replacing it. We connect more clients to Xero than we migrate away from it, and that distinction matters.

Why Teams Actually Leave Xero

  • The October 2026 increase. US list prices rose on October 1: Early from $25 to $27, Growing from $55 to $59, and Established from $90 to $97 per month. Those figures exclude optional add-ons and temporary promotional discounts.
  • Early is limited. You can send up to 20 invoices and enter five bills a month. A business that exceeds those limits may need Growing at $59 rather than Early at $27.
  • Some workflows require extra software. Xero includes basic inventory tracking and bank reconciliation. However, more complex inventory, payroll and CRM workflows may require other tools and extra subscription or integration costs.
  • The wider business stack may be disconnected. Xero Established includes project tracking, but a separate CRM, service desk or specialized operations platform may still need an integration. The right question is whether to integrate or migrate.

How we compared these. US standard list prices checked October 21, 2026. Monthly billing, annual-billing equivalents and first-year promotions are labeled separately. Sales tax, payment processing, payroll, implementation and optional integrations are not included unless specified. Feature limits and user models matter as much as headline price. We are a Zoho Premium Partner, and we implement Zoho Books; that is a bias worth knowing.

Seven Alternatives

Best for smaller teams and connected operations

Zoho Books

Free under $50K revenue; paid from $15/mo annually or $20/mo monthly

The paid tiers are Standard, Professional, Premium, Elite and Ultimate. Annual-billing monthly equivalents are $15 / $40 / $60 / $120 / $240; month-to-month prices are $20 / $50 / $70 / $150 / $275. Professional includes five users and basic inventory. Extra users cost $2.50 each per month billed annually, or $3 each billed monthly.

Zoho Books integrates natively with Zoho CRM, Inventory and Projects. That does not mean every app shares one ledger or that a won deal automatically invoices itself without setup. Customer, item and transaction sync and any deal-to-invoice automation require configuration.

Where it wins

  • Professional: $40/mo billed annually or $50/mo monthly, versus Xero Growing at $59
  • Five users and basic inventory included in Professional
  • Free tier for eligible businesses under $50,000 annual revenue
  • Native integrations with Zoho CRM, Projects and Inventory
  • Higher tiers add more advanced workflows and inventory capabilities

Where it falls short

  • Additional-user charges can erase the subscription difference
  • Annual and monthly billing change the user-count break-even point
  • CRM synchronization and automation need configuration and testing
  • Payroll is separate, with geographic coverage to confirm
Best when accountant familiarity is decisive

QuickBooks Online

Limited Free; paid $38 / $85 / $140 / $340 per month

QuickBooks is widely used by US accounting firms and may be worth the higher subscription price if your CPA or bookkeeper already works in it. Paid plans run from Simple Start at $38 through Essentials at $85, Plus at $140 and Advanced at $340. There is now also a limited QuickBooks Free offering for eligible small businesses.

Where it wins

  • Familiar to many US bookkeepers and CPAs
  • Broad app and advisor ecosystem
  • Paid payroll products integrate with accounting
  • Some lenders, franchisors and industry tools favor QuickBooks

Where it falls short

  • Higher subscription cost at several comparable business tiers
  • Regular users are gated by plan; Plus supports five, Advanced supports more
  • Built-in inventory tracking requires Plus or above
  • Payroll costs extra; it is not included in the listed accounting plan rates
Best for service businesses that mainly invoice

FreshBooks

$23 Lite / $43 Plus / $70 Premium per month

FreshBooks starts with invoicing, time tracking and client billing. It can fit consultants, agencies and trades that bill time rather than manage a large stock catalog. These are standard monthly rates, not short-term promotional offers.

Where it wins

  • Strong invoicing and time-tracking workflows
  • Designed around client projects and billable services
  • Lite starts at $23, below Xero Growing's $59

Where it falls short

  • Lite allows five billable clients; Plus allows 50
  • Additional team members cost $11 per person per month
  • Not built for stock-based inventory management
  • Compare accounting and reporting depth before switching
Best for free basics or low-cost collaboration

Wave

Starter free; Pro $19/mo monthly or $190/year (~$15.83/mo)

Wave Starter offers unlimited basic invoicing and bookkeeping records without a subscription. Pro adds automatic bank imports, receipt capture and unlimited invited users, with role-based access. This makes Wave Pro a genuine unlimited-user alternative, but not a feature-for-feature replacement for Xero.

Where it wins

  • Permanent $0 Starter plan for core invoicing and accounting
  • Pro supports unlimited invited users without per-seat charges
  • Automatic bank feeds and receipt OCR in Pro
  • Live bookkeeping help is available through Wave Advisors, from $149/mo

Where it falls short

  • Pro user access and automated bank imports require a paid subscription
  • Payment processing costs extra; Starter's standard card rate begins at 2.9% + $0.60
  • No comparable advanced inventory or project-costing system
  • Core features and geographic eligibility differ from Xero
Best for serialized inventory and operational accounting

Sage 50

Cloud Pro ~ $132/mo; Premium $182.50; Quantum $271.17

Sage 50 is a different category of accounting product from a lightweight online ledger. Sage 50 Cloud Pro includes basic inventory and one user. Premium adds serialized inventory and supports up to five users, while Quantum adds advanced roles and can support up to 40. Sage requires at least a one-year commitment. Displayed starting rates may vary slightly depending on Sage's purchasing page and billing selection; confirm the quote before budgeting.

Where it wins

  • Premium supports serialized inventory and advanced job costing
  • Quantum offers role-based permissions and workflow management
  • Deeper operational accounting for some inventory-intensive businesses

Where it falls short

  • Premium's $182.50/month cost is materially higher than Xero Established at $97
  • Minimum one-year commitment
  • Higher tiers are required for serialized inventory and 40-user access
  • More involved setup than a simple cloud ledger
Best for straightforward US accounting plus optional payroll

Patriot Software

Accounting $20 Basic / $30 Premium monthly; payroll extra

Patriot charges a flat accounting subscription without a per-user fee and offers an integrated but separately charged payroll product. Basic Payroll is $17 a month plus $4 per paid worker; Full Service Payroll is $37 a month plus $5 per paid worker. Compare the combined invoice, not just the $20 or $30 accounting fee, against Xero plus payroll.

Where it wins

  • Flat accounting price with unlimited users
  • Optional integrated US payroll
  • Full Service Payroll handles eligible tax filing and deposits

Where it falls short

  • Payroll is not included in $20/$30 accounting subscriptions
  • US-focused rather than a global accounting option
  • No comparable built-in inventory management
  • Smaller third-party integration ecosystem
Best if you need operations, not just accounting

Odoo

Year-one annual-billing rates: $24.90 Standard / $49 Custom per user/mo

If the problem is manufacturing, warehousing or field operations rather than bookkeeping, Odoo is worth considering. Its US advertised per-user monthly equivalents with annual billing are $24.90 for Standard and $49 for Custom during the introductory 12 months; regular rates shown are $31.10 and $61, respectively. The all-app paid plans cover the Odoo application suite, but implementation, hosting arrangements and custom work still affect total cost.

Where it wins

  • Manufacturing, inventory, warehouse, CRM and accounting apps in one suite
  • All paid apps covered by the plan's per-user subscription
  • Custom supports external API and expanded hosting options
  • Separate free Community edition is open-source and self-hostable

Where it falls short

  • Per-user pricing can get expensive versus Xero's unlimited users
  • Advertised introductory rates increase after the first 12 months
  • External API requires the paid Custom plan
  • Implementation and migration are substantial projects

One More Option: Keep Xero and Connect It

Often the lower-risk choice

Keep Xero and connect it

Your current Xero subscription, plus integration costs

When clients ask us about replacing Xero, the underlying issue is often that accounting records do not match the CRM, job-management or quoting process. That can be a systems integration problem, not a reason to rebuild the general ledger.

Across construction, professional services and technology clients, we have built bidirectional integrations that map CRM accounts to Xero contacts, generate invoices with line items and payment terms, return invoice status to the sales team, write invoice URLs to the CRM record and surface records that need reconciliation.

Where it wins

  • Keep Xero's unlimited-user model and existing accounting workflow
  • Avoid the cost and risk of migrating the general ledger
  • Address cross-system data gaps directly
  • Accountant workflows can remain unchanged

Where it falls short

  • You still pay for Xero and any needed add-ons
  • Integration setup, maintenance and monitoring carry costs
  • Integration does not solve a genuine accounting feature gap

What They Cost, Side by Side

USD standard US prices checked October 21, 2026, excluding tax and promotional offers except where specifically marked introductory. "Annual-equivalent" means the monthly average of an annual commitment, not a month-to-month subscription. Odoo prices shown are first-year annual equivalents; renewal rates are $31.10 Standard and $61 Custom per user/month under annual billing. Sage 50 requires at least a one-year commitment. Exact quotes and plan features vary.

Calculate the user break-even under the billing terms you will actually choose. Against Xero Growing at $59/month, Zoho Books Professional starts with five users. On month-to-month billing, Zoho is $50 plus $3 for each user after five: both cost $59 at eight users, and Xero is cheaper from nine. With Zoho annual billing, the monthly equivalent is $40 plus $2.50 for each user after five: Zoho stays cheaper through twelve users, and Xero becomes cheaper from thirteen. This is a subscription-only comparison, not a claim that the plans have identical features. Run your numbers.

What You Would Actually Be Giving Up

Reconciliation workflow. Xero's bank reconciliation is a genuine strength in our experience, particularly with high transaction volumes and repeatable matching rules. That is a product assessment, not a universal ranking. Test reconciliation using your actual bank feeds and transactions before deciding another platform will save time.

Unlimited users on every plan. This makes Xero attractive when many people need access without triggering per-seat fees. But it is not unique: Wave Pro supports unlimited invited users, and Patriot Accounting does not charge per accounting user. The question is whether those products also cover your bookkeeping, permissions and operational requirements.

Existing functionality you might already have. Xero includes basic inventory tracking, with capacity for up to 4,000 tracked items. More complex multi-location or channel inventory may require an additional app. Xero Established also provides project time and cost tracking. Compare actual feature depth before assuming you need to migrate for either one.

How to Actually Choose

Start with the workflow, not just the user count

  • Many users, strong reconciliation needs → assess staying on Xero
  • Smaller team, Zoho ecosystem → compare Zoho Books billing terms
  • Bookkeeper works primarily in QuickBooks → quantify the retraining cost
  • Bill clients for time → evaluate FreshBooks
  • Very small, want free basics → Wave Starter or eligible Zoho Books Free
  • Low-cost access for collaborators → consider Wave Pro or Patriot
  • Serialized inventory → Sage 50 Premium or another specialist system
  • Manufacturing or warehouses drive the business → evaluate Odoo
  • CRM and ledger disagree → scope an integration first

Then run these checks

  • Count every actual user and identify permission requirements
  • Choose monthly or annual terms before doing the cost comparison
  • Total payroll, payment processing and marketplace app charges
  • Check inventory depth and project tracking, not just feature names
  • Ask your accountant what switching would cost
  • Test bank reconciliation and confirm multicurrency requirements

Common Questions

What is the best Xero alternative?

Zoho Books is worth comparing for smaller teams that want connected Zoho workflows, at $40/month billed annually or $50 billed monthly for Professional. QuickBooks may suit an accountant-led workflow, FreshBooks can fit services teams, and Wave Starter covers basic bookkeeping at no subscription cost. A change is not automatically better than staying on Xero.

Did Xero raise prices in 2026?

Yes. From October 1, 2026, US Early rose from $25 to $27, Growing from $55 to $59 and Established from $90 to $97 a month. Unlimited users remains included on every plan.

When does Xero become cheaper than Zoho Books?

Against Xero Growing at $59 a month, Zoho Books Professional's monthly plan ties at eight users and becomes more expensive at nine. With Zoho's annual billing, Zoho remains cheaper through twelve users and becomes more expensive at thirteen. Compare features and add-ons too.

What would we give up by leaving Xero?

Potentially a reconciliation workflow your accountant already knows and unlimited users across every subscription tier. Those are real advantages, but not all competitors charge per seat. Xero also has basic inventory and project tracking on Established, so evaluate the exact features you would be replacing.

Should we migrate or integrate?

If the books are working and the issue is CRM-to-accounting visibility, scope an integration first. Migrate when there is a documented accounting or operational limitation that an integration cannot reasonably solve.

Count Your Users Before You Decide

Tell us your user count, which Xero plan and add-ons you pay for, whether you need monthly or annual billing, and which CRM or operational apps must connect. We can evaluate the subscription difference alongside the real cost of migrating or maintaining an integration. If keeping Xero is the better option, we will tell you that too.
