- Automated Client Onboarding & Project Setup: When an engagement letter is signed in Zoho Sign, the Deal automatically advances, a Zoho Projects board is created from the firm’s standard template, the relevant task lists are kept or pruned based on the services purchased, a matching Client Files folder is created in WorkDrive, and everything is linked back to the CRM Account record.
- Budget Tracking & Over-Budget Alerts: Monthly project budgets in Zoho Billing automatically recalculate as timesheets are logged, classify each project as On Track With, Over, or Under, and trigger alert emails to the Lead and Supervisor when projects pace over budget. A monthly reset function keeps Billing and CRM in sync at the start of every month.
- Workflow Forms That Lock In the Standard Process: Custom Zoho Forms tied directly to Zoho Projects tasks ensure team members follow the firm’s standard procedures. Forms update task records dynamically, removing shortcuts and enforcing quality control on every engagement.
- Automated Weekly Client Status Emails: After weekly accounting work is completed, an automated email goes to the client with a status update that now also includes month-to-date billing and budget context, reducing inbound questions and giving Leads useful information at a glance.
- Timesheet Compliance Automation: A scheduled function runs each evening on weekdays, identifies fulfillment team members who logged zero time entries that day, and sends a reminder email with leadership copied for accountability.
- Analytics & Pre-Billing Review Reports: Custom Zoho Analytics dashboards compare each draft invoice against a six-month average, the same month from the prior year, and the monthly budget. Additional dashboards cover Lead vs. Associate hours and team workload capacity, all embedded directly into Zoho Billing for quick access.
