Executive Summary

Aviem International is a crisis response organization that focuses on human services. They partner with companies to provide practical care and support to those most affected when a tragedy strikes in the course of business operations. Aviem has 7 full-time employees and scales by hiring 20–40 or more temporary agents as needed to support projects throughout the year. The company is headquartered in Atlanta, GA, with additional locations in Augusta, Houston, London, Barcelona, Brisbane, Perth, and Johannesburg.

Aviem partnered with Zenatta to transition from Salesforce to Zoho and build a more scalable system that could support both internal teams and temporary agents with minimal training. The result was a streamlined, affordable platform with portal access, simplified operational workflows, and a cleaner data model to support day-to-day execution.

The Challenge

When Aviem reached out to the Zenatta team, they were using Salesforce and looking for a more affordable solution. They found Zoho as an alternative and chose Zenatta to help implement and strategize the switch. A core requirement was scalability for bringing on temporary agents throughout the year without needing to purchase a full license for each user, while still maintaining structure and visibility into operational records.

Why It Mattered

Aviem’s work often requires fast operational ramp-up. Without a scalable system, onboarding temporary agents can become expensive, time-consuming, and inconsistent. They also needed simplified internal processes for logging time and expenses so new contributors could become productive quickly without extensive training. The goal was a system that reduced software costs while improving consistency, visibility, and day-to-day workflow execution.

The Zenatta Solution

The Aviem implementation was completed in phases, starting with a clean migration from Salesforce to Zoho and then expanding into portals and operational process improvements.

  • Salesforce to Zoho Migration + Cleanup: Aviem had already imported much of their data. Zenatta finished the remaining imports and cleaned up modules and fields to better reflect their business model.
  • Agent + Client Portal Strategy: Zenatta split portal needs into two tracks. For the agent portal, Aviem was referred to Catalyst Connect, a partner team specializing in Zoho portals. For the client portal, Zenatta built a Zoho CRM portal that allows clients to view activated records.
  • Timesheet Logging: Zenatta created a custom form designed to make time entry simple and consistent, reducing manual follow-up and improving reporting clarity.
  • Expense Tracking via Creator: To keep expense entry low-friction and easy to train, Zenatta built a custom Zoho Creator application focused on straightforward submission and tracking.

Results

After the implementation, Aviem had a more affordable, streamlined system tailored to their operational model and staffing reality. Key outcomes included:

  • Reduced cost pressure by scaling access through portals rather than full licenses for temporary agents.
  • Improved consistency across CRM records with cleaner modules, fields, and import structure.
  • Simplified time and expense entry for faster onboarding and less administrative overhead.
