Zoho Books vs Xero
When to switch accounting platforms, and when connecting Xero to Zoho CRM is the better move.

The Short Answer
We often recommend keeping Xero when the accounting itself is working. If the problem is that sales cannot see invoice status or customer information is being entered twice, connecting Xero to the CRM may solve it without moving a ledger.
Xero has unlimited users on every US plan, native basic inventory tracking, and project tracking on Established. In our implementation experience, its bank reconciliation workflow is particularly effective for teams processing many transactions.
Zoho Books can be less expensive for smaller teams. Professional includes five users, inventory tracking and project profitability at $40 per month billed annually or $50 billed monthly. Xero Growing is $59 per month and includes unlimited users. When compared on these specific plans, Xero becomes cheaper at 13 users with Zoho annual billing, or nine users with Zoho monthly billing.
Consider migrating when there is a specific functional need, a deliberate move toward the Zoho ecosystem, or a proven total-cost advantage. Otherwise, test the integration option first.
Who Each One Is Actually For
Zoho Books fits when
- You are implementing other Zoho applications and want supported native connections
- Five or fewer users need Professional's inventory and project accounting capabilities
- Purchase orders, billable timesheets and project profitability matter to your workflow
- You qualify for its limited free plan, under $50,000 in annual revenue
- You are setting up a new accounting system rather than replacing a functioning one
Xero fits when
- Many employees or collaborators need accounting access
- Bank reconciliation is a frequent, high-volume task
- Your bookkeeper already works efficiently in Xero
- Basic inventory or Established's native project tracking meets your requirements
- Your ledger is working and the gap is between accounting and other business applications
What It Actually Costs
Both products charge per organization, but their user models differ. Xero includes unlimited users on Early, Growing and Established. Zoho Books includes a fixed number of users in each plan and charges for additional users. Its lower advertised prices require annual billing.
| Tier | Xero, monthly list | Zoho Books, annual / monthly billing |
|---|---|---|
| Free | No permanent free plan | Free under $50K annual revenue (usage limits) |
| Entry | Early, $27 (20 invoices and 5 bills per month) | Standard, $15 / $20 (3 users) |
| Growing business | Growing, $59 (unlimited users) | Professional, $40 / $50 (5 users) |
| Higher tier | Established, $97 (includes Xero Projects) | Premium, $60 / $70 (10 users) |
| Additional tiers | Established is highest standard US tier | Elite, $120 / $150; Ultimate, $240 / $275 |
| Additional users | Unlimited on all plans | $2.50/user/mo annually; $3/user/mo monthly |
| Invoice allowances | Early: 20/month; Growing and Established do not have that cap | Free 1K; Standard 5K; Professional 10K; Premium 25K; Elite/Ultimate 100K annually |
Standard US list pricing checked October 21, 2026. Zoho prices in the first position are monthly equivalents when paid annually. Xero's updated US rates took effect October 1, 2026. Excludes temporary promotions, taxes, add-ons and migration costs. Sources: Xero pricing and Zoho Books pricing.
Where the user-cost lines cross
This illustration compares Xero Growing with Zoho Books Professional at the regular subscription rate, assuming every person needs a paid Zoho Books user account. It does not mean the two plans offer identical features.
| Users | Xero Growing / yr | Zoho Professional / yr (annual billing) | Cheaper plan |
|---|---|---|---|
| 5 | $708 | $480 | Zoho Books |
| 8 | $708 | $570 | Zoho Books |
| 12 | $708 | $690 | Zoho Books |
| 13 | $708 | $720 | Xero |
| 20 | $708 | $930 | Xero |
Zoho Professional includes five users. On annual billing each additional user costs $2.50 per month, or $30 a year. With Zoho month-to-month billing, Professional starts at $50 and extra users cost $3 a month: eight users cost $59 (equal to Xero Growing), and nine users cost $62 (more than Xero Growing).
User count is only the starting point. Xero Early may be less expensive than Zoho Professional if its 20-invoice and five-bill monthly limits work for you. Conversely, businesses needing project tracking on Xero should compare Established at $97 with the applicable Zoho plan, not Growing at $59. Verify access roles, invoice volume, integrations and features before deciding. Run the numbers.
Where Xero Genuinely Wins
Bank reconciliation for busy teams
In our experience, Xero's bank matching and reconciliation workflow is especially useful when a bookkeeper reviews a high volume of transactions. That is a practical advantage to test with your own bank feeds, not an objective claim that every user will prefer it. Zoho Books also supports bank reconciliation.
Unlimited users on every plan
There is no per-seat subscription calculation for standard Xero users. A business with many people accessing accounting data can benefit from that model even if its invoicing volume is modest. Permissions and appropriate security controls still matter.
Native inventory and projects, plus an established ecosystem
Xero is not merely a general ledger. It includes basic inventory tracking, including stock quantities and costs of goods sold, while deeper warehouse requirements may need Inventory Plus or another integration. Xero Established also includes time and cost tracking for projects. Xero has a broad app marketplace and a sizeable accountant and bookkeeper network, especially in markets such as the UK, Australia and New Zealand.
Where Zoho Books Wins
Value for a small team with broader accounting needs
Zoho Books Professional combines five users, inventory tracking, purchase and sales orders, multi-currency transactions, billable timesheets and project profitability at $40 a month billed annually or $50 billed monthly. Xero offers some of these capabilities through different tiers or add-ons. Compare the actual workflow, not just a matched price row.
Native connections across the Zoho ecosystem
Zoho Books has native integrations with Zoho CRM, Inventory and Projects. These can reduce duplicate entry and support automated invoicing and financial visibility across teams after the integrations are configured. They are separate applications that exchange data through synchronization, not different screens reading one shared database.
For example, the Zoho Finance modules inside CRM can expose Books transactions and support configured deal-to-invoice workflows. Customer and item synchronization may run on a schedule; supported finance transactions can synchronize more quickly. CRM's original inventory modules are separate from the Zoho Finance transaction modules, so the implementation needs the correct modules and mappings.
Additional inventory and analytics tiers
Zoho Books extends beyond Professional and Premium. Elite adds capabilities such as warehouses, serial and batch tracking, and composite items, while Ultimate adds more advanced business intelligence. These are reasons to evaluate higher tiers if their features fit your needs, not proof that Xero cannot support a growing business.
Zoho Books can manage multiple organizations, but separate legal entities may require separate subscriptions and additional consolidated reporting. Do not assume a higher Zoho Books plan automatically provides intercompany or consolidated accounting.
The Option Worth Considering First
For a business already operating successfully on Xero, integrating Xero with Zoho CRM may solve the real problem more directly than a migration. That is a substantial part of the work we describe in our client engagements.
In our work across construction, professional services and technology, we have built integrations that map CRM accounts to Xero contacts, generate invoices from CRM deals with line items and payment terms, return invoice status and links to CRM, and use Zoho Analytics to identify mismatches between accounting and CRM records. Those are examples of scoped integrations, not capabilities that every installation provides automatically.
- It can be faster and less disruptive A contained CRM-to-Xero project may take weeks instead of the longer cutover and reconciliation process typical of accounting migrations. Complexity and data quality determine the actual schedule.
- The historical ledger stays in place Your bookkeeping history does not need to be imported into another accounting system. However, invoice-writing integrations can still create duplicates or bad entries if mapping, permissions, idempotency and monitoring are poorly designed.
- It may solve the original complaint Sales visibility into paid invoices, duplicated contacts and manual re-keying are integration requirements. They do not inherently require changing the system of record.
- There is an ongoing maintenance cost API permissions, field changes, error handling, sync monitoring and reconciliation belong in the scope and the long-term cost comparison.
When migration can make sense. Consider it if you are deliberately adopting the Zoho ecosystem, need particular Zoho Books or higher-tier inventory capabilities, have outgrown your current configuration, or have demonstrated that the long-term cost of staying on Xero and maintaining integrations exceeds the migration and operating cost. Validate the feature gap and accountant requirements first.
So, What Should You Do?
Consider Zoho Books if
- You are deliberately deploying Zoho applications across the business
- Its plan-specific inventory, purchasing or project features better fit your workflow
- You have a small team and the subscription savings justify migration costs
- Your accountant supports the new workflow and historical reporting plan
- You are starting fresh or have identified a measurable reason to replace Xero
Keep Xero and integrate if
- The books are accurate and the current accountant workflow works
- Unlimited users or high-volume bank reconciliation matters
- Your immediate problem is invoice visibility or duplicated CRM entry
- A scoped integration can meet your requirements at an acceptable ongoing cost
- A migration would add risk without a clear financial or functional benefit
Common Questions
Is Zoho Books cheaper than Xero?
For the specific comparison of Zoho Books Professional and Xero Growing, Zoho starts at $40 per month billed annually or $50 billed monthly, versus Xero at $59. With annual Zoho billing, Xero becomes cheaper at 13 users. With monthly Zoho billing, the plans tie at eight users and Xero is cheaper at nine. Different feature needs may call for different tiers.
What does Xero do better?
Xero includes unlimited users on all US plans and has strong bank reconciliation workflows. It also includes basic inventory tracking and, on Established, native project tracking. Accountant familiarity and existing integrations may favor keeping it.
Does Xero have inventory and project tracking?
Yes. Xero includes basic inventory tracking, with more advanced needs potentially requiring an add-on. Xero Established includes project time, cost and profitability tracking.
Can Xero connect to Zoho CRM?
Yes. A configured integration through Xero's API or a suitable connector can synchronize contacts, create invoices, and show invoice status in Zoho CRM. Data mapping, error handling and ongoing monitoring are part of the implementation.
Should we migrate from Xero or integrate it?
If Xero works and the main complaint is disconnected CRM or operational data, evaluate an integration first. Migration may be justified by a deliberate Zoho consolidation, missing capabilities, or a favorable total-cost assessment after implementation and ongoing costs.
