8 FreshBooks Alternatives
Compared on the two limits that actually make people leave, neither of which appears on the pricing page in large type.

The Short Answer
FreshBooks has the best invoicing experience in its bracket. People rarely leave because they dislike it. They leave because of two limits.
Billable client caps. Lite allows five billable clients and Plus allows fifty. You do not outgrow FreshBooks by hiring, you outgrow it by winning work, which is an odd thing to be charged for.
And $11 a month per extra team member, on top of the plan. A four-person firm on Plus pays roughly $76 a month, not $43.
So: if your use is essentially invoicing and time tracking, Zoho Invoice is free and that is the honest answer. If you need real accounting or hold stock, Zoho Books or Xero, because FreshBooks has no inventory at any tier. If a lot of people need access, Xero, which includes unlimited users on every plan.
Why Teams Actually Leave FreshBooks
- The client cap, which arrives as a success penalty. Five clients on Lite, fifty on Plus. Growing your client base forces a plan change for reasons unrelated to how much work you are doing.
- Per-seat charges on a small-business tool. Around $11 per extra team member per month. For a firm of four or five, that is a meaningful share of the bill and it is easy to miss when comparing headline prices.
- No inventory, ever. If the business starts selling products alongside services, FreshBooks cannot follow you there and the move is forced rather than chosen.
- It is invoicing software priced like accounting software. Premium at $70 is above Xero Established and well above Zoho Books Professional, while doing less on the accounting side.
How we compared these. On real cost including seat charges and client limits, because those are what actually bite. A genuine shortcoming listed for every option including ours. We are a Zoho Premium Partner, which is a bias worth knowing while you read.
The Eight Alternatives
Zoho Invoice
FreeWorth stating plainly because it sounds too simple: Zoho Invoice is free, permanently, not a trial. Invoicing, estimates, time tracking, expenses, client portal and payment collection. If what you actually do in FreshBooks is send invoices and log hours, this is the same job at $0 against $23 to $70 a month.
Where it wins
- Free, with no client cap to grow into
- Time tracking and expenses included
- Client portal and online payments
- Upgrades cleanly into Zoho Books later
Where it falls short
- Not accounting, so no general ledger or bank reconciliation
- No inventory
- Your accountant will still want a real ledger somewhere
- Invoice design is plainer than FreshBooks
Zoho Books
Free under $50K revenue, then $15 / $40 / $60 / $120 / $240The step up when invoicing is only part of the job. Standard at $15 undercuts FreshBooks Lite while adding proper accounting, and Professional at $40 includes inventory and five users against FreshBooks Premium at $70 with none. Extra users are $3, not $11.
Where it wins
- No billable client cap at any tier
- Extra users $3 against FreshBooks' $11
- Inventory included from Professional
- Free under $50,000 annual revenue
- Shares data with CRM, Projects and Inventory
Where it falls short
- Invoicing experience is good, not FreshBooks-good
- Payroll is a separate product with narrower coverage
- Fewer US bookkeepers know it
- Time tracking is less polished than FreshBooks'
Xero
$27 Early / $59 Growing / $97 Established per monthThe structural answer to per-seat charges: every Xero plan includes unlimited users. For a firm where partners, bookkeepers and admin staff all need access, that removes the problem entirely. Note Xero raised US prices on 1 October 2026.
Where it wins
- Unlimited users on every plan
- Best bank reconciliation in this bracket
- No billable client caps
- Strong accountant network
Where it falls short
- Prices rose 1 October 2026
- Early caps at 20 invoices a month
- Time tracking needs an add-on app
- Project billing is weaker than FreshBooks
Wave
Starter free, Pro from about $16/moUnlimited invoices and real double-entry accounting at no cost. For a sole trader paying $23 for FreshBooks Lite and bumping into the five-client cap, this is the obvious reconsideration.
Where it wins
- Free accounting with unlimited invoices and clients
- Genuine double-entry ledger, not just invoicing
- Pro adds receipt scanning cheaply
Where it falls short
- Payment processing at 2.9% + $0.60 is the business model
- No inventory or project costing
- Live bookkeeping support discontinued
- Single-user focus
QuickBooks Online
$38 / $85 / $140 / $340 per monthThe US bookkeeping default, and the only real reason to choose it over the cheaper options here. More expensive than FreshBooks at comparable tiers, but if your accountant bills hourly and works in QuickBooks, that familiarity has a dollar value.
Where it wins
- Every US bookkeeper already knows it
- Payroll with tax filing on higher tiers
- Largest app ecosystem in the category
- No billable client caps
Where it falls short
- Prices rose again in August 2026
- Users gated by tier, so a sixth person means $340
- Inventory sits behind Plus at $140
- Invoicing is worse than FreshBooks
Sage Accounting
From about $10/moA straightforward micro-business ledger at the lowest paid price here. Worth a look if you want real accounting rather than invoicing and your needs are simple.
Where it wins
- Cheapest paid accounting on this page
- Established brand with accountant recognition
- No client caps
Where it falls short
- Light on integrations
- Interface feels dated
- Weak project and time billing
Zoho Books with Zoho Projects
$40 + $5 per user/moIf you left FreshBooks because project profitability was invisible, this pairing addresses it directly. Projects handles budgets, job costing and timesheets at $5 a user, and logged time flows into Books as an invoice without an export.
Where it wins
- Budget versus actual per project
- Timesheets reach the invoice natively
- Still cheaper than FreshBooks Premium with seats
Where it falls short
- Two products to set up rather than one
- More configuration than FreshBooks needs
- Overkill if you just send invoices
Stay on FreshBooks
$23 / $43 / $70 per monthFreshBooks genuinely has the best invoicing and time-tracking experience in this bracket. Clients find the invoices clearer, chasing payment is easier, and for a solo consultant or a two-person firm under the client cap, none of the alternatives above is obviously better at the actual job.
Check two numbers before deciding: how many billable clients you have, and how many people need a login. If both are small, the saving elsewhere is modest and you would be trading a better tool for it.
Where it wins
- Best invoicing experience in the category
- Time tracking and project billing built in
- Clients consistently find the invoices clearer
- No migration risk
Where it falls short
- Client caps on Lite and Plus
- $11 per extra team member
- No inventory, ever
- Premium at $70 is above Xero Established
What a Four-Person Firm Actually Pays
| Platform | Plan | 4 users/month | Client cap |
|---|---|---|---|
| FreshBooks (current) | Plus $43 + 3 × $11 | $76 | 50 |
| QuickBooks Online | Essentials | $85 | None |
| Xero | Growing | $59 | None |
| Zoho Books | Professional | $40 | None |
| Wave | Pro | ~$16 | None |
| Zoho Invoice | Free | $0 | None |
Monthly cost for four users, annual billing where available. Zoho Books Professional includes five users. US list pricing verified October 2026; QuickBooks reflects the August 2026 increase and Xero the 1 October 2026 increase.
FreshBooks is the second most expensive row and the only one with a client cap. That combination is what sends people looking. Whether it should send you depends on how much you value the invoicing experience you would be giving up. Run your numbers.
What Leaving Actually Involves
- Most history should not move The approach that works on every accounting migration we run: load full history into a reporting layer for continuity, and import only open invoices and balances as of a cutover date. Replaying years of transactions into a fresh ledger is how these go wrong.
- Pick a cutover at a period end Your accountant picks the date, not your consultant. Open invoices, retainers and prepayments all import as of that point, and the gap period is caught up separately.
- Time entries rarely migrate Unbilled time is the awkward case. Invoice everything you can before cutover so you are not carrying partially billed work across two systems.
- Recurring invoices and payment links get rebuilt Any client on an automatic recurring charge needs setting up again, and in some cases re-authorising their payment method. Plan that communication rather than discovering it on the first failed charge.
How to Actually Choose
Start from what you need
- Just invoicing and time → Zoho Invoice, free
- Real accounting too → Zoho Books
- Many people need access → Xero
- Very small, want free → Wave
- Accountant demands it → QuickBooks
- Project profitability → Zoho Books with Projects
- Under the caps and happy → stay
Then check these
- Count your billable clients against the cap
- Count team members at $11 each
- Ask whether you will ever sell products
- Ask your bookkeeper what they will work in
- Invoice unbilled time before any cutover
Common Questions
What is the best FreshBooks alternative?
Zoho Invoice if you only need invoicing, since it is free. Zoho Books if you need accounting or inventory. Xero if many people need access.
Why do people leave FreshBooks?
Billable client caps of 5 on Lite and 50 on Plus, and $11 per month for every extra team member.
Does FreshBooks have inventory?
No, at any tier. If you start selling products, you have to move.
Is Zoho Invoice really free?
Yes, permanently rather than as a trial. It is invoicing and time tracking rather than full accounting, so your ledger still needs a home.
Count Your Clients and Your Seats
Those two numbers decide this. Tell us how many billable clients you have, how many people need a login, and whether you will ever sell a physical product. If you are a solo consultant under the cap, we will tell you to stay, because FreshBooks does invoicing better than we do.
