Executive Summary

Complete Payroll provides HR, payroll, and time and attendance services to clients nationwide. The company is headquartered in Western New York and employs roughly 85 people. For years, however, it ran on a CRM that was reaching end of life. The team knew Zoho was the right platform to move to. Still, they lacked the confidence and technical know-how to get the most out of it.

Zenatta partnered with Complete Payroll to implement Zoho the right way. Together, they built a core data integration between the iSolved payroll system and Zoho. Just as importantly, Zenatta helped the team learn to write their own functions and integrations. As a result, a one-time project became lasting in-house capability, backed by ongoing guidance.

The Challenge

Before working with Zenatta, Complete Payroll was running on a CRM that was reaching end of life. The team had already decided that Zoho was the correct path forward. However, moving a payroll and HR business onto a new platform is no small undertaking. They simply lacked the technical confidence to do it well on their own.

Zoho is a deep ecosystem, and that depth cuts both ways. In fact, there are often several viable ways to solve a single problem. Unfortunately, there is limited guidance on which approach truly fits a given business. For this reason, Complete Payroll needed a partner who knew the platform intimately. They wanted someone who could build the right integrations and guide their decisions with confidence.

Why It Mattered

Complete Payroll provides payroll, HR, and time and attendance services. Because of that, it manages sensitive client data that must stay accurate and current. Disconnected systems and manual updates leave room for error. In this industry, such errors quickly erode the client trust the business is built on.

Choosing the wrong technical approach carries a real cost too. Time spent building down the wrong path has to be unwound and rebuilt later. Moreover, the wrong architecture quietly limits what the team can do as it grows. Complete Payroll therefore needed a reliable foundation and a trusted advisor to keep it on course.

The Zenatta Solution

Zenatta worked closely with Complete Payroll across Zoho CRM, Analytics, Desk, Creator, Flow, and more. The goal was simple: build the integrations the business needed, then transfer the knowledge to maintain them.

Integrations and Automations

  • iSolved Data Sync: Zoho Analytics query tables compare iSolved data against CRM Accounts on the COID field. Any mismatched or missing values flow into a dedicated update list. From there, a scheduled CRM function runs every day at 4am. It bulk-updates the Accounts module, handling up to 1,000 records per run.
  • Automated Desk Ticket Routing: A custom Zoho Desk function sets each ticket’s COID field. It then assigns the owner based on the related CRM Account’s CSR field. As a result, tickets reach the right account manager without manual triage.
  • CRM to Creator Quoting Sync: A one-way sync pushes CRM Accounts and Products into a custom Creator app. In addition, client scripts auto-populate the Client Contact and Email fields on the quote form. This keeps quoting data aligned with the system of record.
  • Document Automation: Mail Merge Templates add embedded signature fields and bundle multiple documents. They also pre-fill data through the Zoho Sign and Writer APIs. Together, these speed up how the team prepares documents for signature.
  • HubSpot Integration and Reporting: Zoho Flow connects HubSpot to Zoho CRM. Likewise, the CRM to Campaigns integration was mapped and refined. Finally, embedded Analytics reports surface on a custom CRM home screen for quick visibility.

Enablement and Ongoing Guidance

Beyond the build, Zenatta focused on enablement. The team quickly learned to write their own functions and build their own integrations. Today, Zenatta still advises Complete Payroll on the best route through Zoho’s many options.
