Automated Subscription Management Improved Billing Accuracy Unified Customer Data

Executive Summary

LEOGANT refines tap water into fresh mountain spring quality, offering premium systems for homes, offices, cafés, and restaurants. As a certified B Corporation, the company blends sustainability, design, and advanced filtration technology. Because of their growing customer base and complex service cycles, LEOGANT needed a system that could handle multilingual communication, subscription logic, and consistent customer updates.

To support these needs, LEOGANT partnered with Zenatta to rebuild key processes in Zoho. The project focused on subscription automation, billing workflows, structured change requests, and data consistency. As a result, LEOGANT now runs a scalable and highly automated service model powered by CRM, Creator, Analytics, Books, and Forms.

The Challenge

LEOGANT tested many platforms over the years—Oracle, Salesforce, Sage, Odoo, Scopevisio, and Weclapp. However, none offered the flexibility, cost balance, or customization they required. Their long history of processes made migration difficult as well. They also needed tools that could support subscription cycles, German-compliant invoicing, and automated reminders. Although Zoho gave them the right foundation, LEOGANT still needed expert help to build stable automation, maintain data consistency, and simplify everyday work.

Why It Mattered

Reliable subscription management requires clear timing, accurate reminders, and smooth customer communication. Without automation, these tasks create delays and increase the risk of errors. As LEOGANT continued to grow, manual steps slowed their team and limited their ability to deliver a consistent service experience. Therefore, a unified and automated workflow was essential. It also needed to support both English and German customers while keeping all records synchronized across modules.

The Zenatta Solution

Zenatta designed a streamlined and automated subscription system using Zoho CRM, Creator, Books, Analytics, and Forms. The new setup reduced manual work, improved data accuracy, and aligned all customer-facing processes.

  • Zoho CRM Automation: Updated subscription logic for all plans and added rules for Next Filter Change, Next Shipping Date, and multilingual emails. In addition, CRM now manages address sync, reminder cycles, and automated status updates.
  • Zoho Creator Application: Built a multilingual Change Request form with structured data handling. The form includes Premium-specific rules, guided field logic, and direct CRM record creation, which replaced an earlier and less reliable Flow setup.
  • Zoho Books Integration: Automated Sales Order creation now triggers at the right stage of each subscription. The system also maps line items, applies address rules, and links Sales Orders back into CRM for full visibility.
  • Zoho Analytics Reporting: Created dashboards, migration tables, and service-cycle reports. These tools help LEOGANT track shipping cycles, filter changes, and long-term subscription activity.
  • Document & Data Management (WorkDrive + Desk + Sign): Centralized documents in WorkDrive, added ticket alerts in Desk, and improved subscription signup workflows using Zoho Sign. This also increased clarity around historical data.
