They perceive water not merely as a commodity but as an essential element for health and well-being. Their distinctive approach involves a natural two-stage water treatment paired with bespoke design solutions, ensuring an unparalleled water experience that satisfies the most discerning standards.

The Challenge

Since its inception in 2009, LEOGANT has consistently positioned itself at the forefront of technological innovation, always on the lookout for sophisticated software solutions that are tailored beyond the usual offerings. Their rapid growth & evolution, however, has often outpaced the capabilities of many software solutions they adopted, leading to integration issues and inefficiencies.

Software migration, especially for companies with over a decade of legacy processes, poses significant challenges. In their pursuit to find the optimal software, LEOGANT rigorously evaluated numerous options, including Oracle, Sage, Weclapp, Salesforce, Scopevisio, and Odoo.

For an SME like LEOGANT, with finite resources, the search parameters were clear and uncompromising. They sought a platform that was cost-effective, highly customizable, Mac-compatible, compliant with German legal and tax norms, and independent of third-party agencies. Other key considerations included an expansive range of functions, an intuitive user interface, software customization abilities, and the capability to automate their intricate subscription and reminder services.

After an exhaustive search, Zoho emerged as the top contender, aligning closely with LEOGANT’s prerequisites. Their only concession in this choice pertained to the German tax-compliant accounting system.

Implementation

For LEOGANT, as a subscription-based service, the imperative was clear: streamline subscriptions and optimize customer interactions. Here’s a breakdown of the major implementations we undertook to address their specific challenges:

  1. Subscription Management Through Zoho CRM:
    • Status and Reminders: A robust system was implemented to manage subscription statuses, send timely reminders, automate renewals, and decide on appropriate invoicing timelines.
    • Customer Flexibility: Recognizing the dynamic nature of customer needs, we introduced a form that empowered clients to adjust or halt their subscriptions seamlessly. This was made possible through a Zoho Form link embedded in their emails.
    • Change Requests: Any alterations made by the client via the form are logged as a ‘change request record’ within the CRM, which is then mapped to the corresponding contact and account. This ensures that LEOGANT is always in sync with its customers’ requirements.
  2. Customer Record Maintenance:
    • Real-time Updates: Based on the Activity in the Subscription Module, customer records are updated in real-time. This ensures that LEOGANT’s database remains accurate and reflects the current subscription status of each customer.
    • Bilingual Notifications: Recognizing LEOGANT’s diverse clientele, a system was instituted to dispatch notifications and invoicing either in English or German, depending on the client’s preference.
  3. Billing and Invoicing:
    • Transition to Zoho Books: Though initially not utilizing Zoho Subscriptions, with the introduction of a German edition of Zoho Books, we are now evaluating the transition to Zoho Books for seamless auto-invoicing.
  4. Data Integrity:
    • Unified Contact Information: Regardless of the point of contact – be it email or phone – the associated contact information is automatically updated across all relevant records.
    • Task Automation: Based on subscription details, tasks, be it for service provisioning, shipments, or other requirements, are auto-generated.
  5. Document Management:
    • Seamless File Transition: In cases where files are attached to a deal, we’ve implemented a system where these documents are smoothly transitioned to Workdrive. This provides LEOGANT with an organized and structured file storage system, ensuring that critical documents are always at their fingertips.

Through these implementations, LEOGANT’s subscription management system is not only streamlined but also tailored to provide an intuitive and responsive experience for its customers.

Results

“Already during the setup of the software we were enthusiastic about the possibilities and the simple operation and easy customizability without code at Zoho. Some functions, however, we could not realize without an external partner, because this required expert knowledge and coding. For this we were looking for a partner.

Since we as users have no idea of the actual effort, but a good understanding of software and basic programming, we turned to the only German partner with our requirements for a straight forward customization from our point of view. When we received the offer from the German Zoho partner of over 50k, which we considered exorbitant, we went looking for agencies abroad. We got to know Zenatta through the very good content they offer online for free training. After a video call we asked for a quote. The offer was 10% of the amount offered by the German partner. Skeptical about the big price difference we decided to test Zenatta as a partner.

From the beginning, we were delighted with the advice, the ultra-fast problem detection and the development of solutions. Zenatta was able to understand our requirements in a very short time, translate them into software processes and even optimize them for us with their knowledge. What we particularly liked was that Zenatta from the beginning emphasized that we understand all the processes and that we as customers are able to grow with the software ourselves and gain an understanding of the customizations in order to refine them independently. We were not entangled in any dependency, which unfortunately all other agencies have always tried to do. Processes, offers, programming were otherwise always intransparent – not with Zenatta. We are extremely satisfied and have been using Zenatta for all customizations since then, as they enjoy our unrestricted trust.
