Implementation of the Week

  • Zoho CRM Next Follow Up Date controlled via Validation Rules
    • In this implementation, our goal was to set up a requirement in the system to have an up-to-date “Next Follow Up Date” value for each Deal where Stage = Engaged
    • This follow up date can trigger automated actions to make sure we minimize pipeline churn
    • In this specific use-case, our client was looking to make sure that this date is both: in the future, and no more than 45-days in the future
    • To accomplish this, we leveraged a CRM Validation Rule, but instead of using the normal UI configuration, we used a custom Deluge validation rule
    • This lets us compare the entered date to the current date on the fly, to enforce that it satisfies our clients rules for ongoing follow-up activities to Engaged Deals

  • Automatic Invoice Template Selection in Zoho Books (by Elizabeth Clarke)
    • This week’s codeshare is from our Club Zenatta superstar Elizabeth Clarke.  Her breakdown:
      • We ran into an issue where we were getting a lot of human error in template selection for invoices in Zoho Books: we operate in three currencies, with different bank account details for each, and we kept forgetting to set the default template with the correct bank account details for new foreign-currency customers. 
      • I run this on the Create trigger only to allow us to override the automatic choice by editing the invoice if we so desire. 
      • To get the template IDs, open the edit page for the template you need and the eighteen-digit ID will be in the URL. 
      • You can apply this same principle to choose templates based on any variable on the invoice, not just the currency–the only requirement is that the input be one of a consistent list of choices you can put in a map
