Executive Summary

CQ Floors is a flooring sales and installation company based in San Marcos, CA. The business has served residential, multifamily, and commercial customers since 1984 and now operates under owners Justin and Nicole Lensen.

The company runs a lean team of six. They manage estimating, bids, and installation coordination for a wide range of flooring projects and have plans to expand into new markets. However, their legacy ERP and standalone estimating software created friction between precise measurements, bids, and billing.

Zenatta used Zoho CRM as the central hub to connect CQ Floors’ estimating tool M2 and their ERP, RollMaster. The new system automates deal creation, quote generation, order creation, and billing logic. As a result, CQ Floors can now generate accurate quotes in a fraction of the time and push clean data straight into RollMaster.

The Challenge

Before working with Zenatta, CQ Floors struggled with a slow and fragmented bid process. Their sophisticated estimating program lived outside the ERP. Their ERP ran on an older, Windows-bound platform. Nothing spoke to each other natively.

Estimators had to move data from the estimating system into the ERP bid screens by hand. This extra step delayed responses to customers and introduced room for error. New users also faced a steep learning curve due to the ERP’s complexity.

Why It Mattered

In the flooring business, speed and precision directly affect win rates. Customers expect detailed quotes quickly. When bids take too long or miss key details, opportunities slip away.

On top of this, CQ Floors wanted to grow into new markets. To scale, they needed a repeatable and reliable process. That meant fewer manual steps, consistent pricing logic, and a modern system that new team members could learn quickly.

The Zenatta Solution

Zenatta designed Zoho CRM as the “bridge” between estimating and ERP. The team integrated M2 and RollMaster with CRM and layered custom logic on top. This created one smooth journey from measurement to quote to order and billing.

  • CRM-Driven Deal Creation: Users now create a deal directly from an Account in Zoho CRM. From that deal, they can start an M2 project, which sets up all measurement properties for the flooring job. This keeps every project anchored to a single CRM record.
  • API Integration with M2: Zenatta built an API link between M2 and Zoho CRM. The system can both push and pull data. As a result, measurements and material details flow into CRM automatically, which prepares each record for quote creation.
  • Custom Quote Logic in CRM: Using the M2 data, Zenatta created custom quote logic in Zoho CRM. The logic assembles quotes with consistent rules and pricing. It reduces manual edits and helps maintain accuracy across every bid.
  • Quote Document Generation via Mail Merge: Quote documents are generated through Zoho Writer mail merge templates. CQ Floors can choose from three levels of detail: with quantities, without quantities, or full quantity detail. Each quote includes Style, Color, Unit of Measure, Quantity, and Total, giving customers clear pricing options.
  • One-Click Order Creation in RollMaster: From the finalized quote in Zoho CRM, users can create an order in RollMaster with a single step. This tight integration reduces manual entry and ensures the same data drives both the quote and the order.
  • Billing Logic That Mirrors RollMaster: Zenatta also built a comprehensive billing function inside the CRM. It mirrors RollMaster’s billing rules so that amounts pushed into the ERP are already correct. This alignment avoids reconciliation headaches later.

Results

CQ Floors now runs their bid process through a cloud-based, integrated flow. Estimating, quoting, and ERP billing all work together instead of fighting one another.
