The Challenge

Before partnering with Zenatta, Complete Payroll Services had already adopted Zoho but faced inefficiencies. Sales processes were largely manual, requiring team members to send individual emails and agreements by hand as deals moved through the pipeline. Additionally, document storage was managed via a separate system that did not integrate with Zoho, resulting in fragmented workflows and missed opportunities for automation and cost savings.

The Implementation

Zenatta partnered with Complete Payroll Services to enhance their Zoho ecosystem with automation, better document management, and scalable workflows. Led by consultant Maya, the implementation focused on eliminating manual processes and improving team coordination.

  • WorkDrive Automation & Document Routing: A custom WorkDrive setup now creates folders automatically when a new Account is added in CRM. Documents from Contacts, Deals, and Zoho Sign are funneled into the correct WorkDrive folders, with naming synced to Account updates. Only completed documents are stored, reducing clutter and confusion.
  • Streamlined Onboarding Workflow: Onboarding forms and client-uploaded documents are now auto-sorted into the right folder, even if submitted before a Deal or Contact is tied to an Account. This ensures everything ends up in the right place with no manual cleanup.
  • Zoho Projects Integration: When a deal closes, the correct project is created automatically based on the service sold. Task ownership adjusts dynamically based on CRM fields, replacing previous hardcoded assignments and improving internal handoffs.
  • Recurring Task Automation: Annual processes like open enrollment reminders were automated, keeping communication timely without requiring manual input.

These improvements helped Complete Payroll Services reduce administrative overhead, stay better organized, and scale operations with ease.

The Results

The impact of Zenatta’s work was immediate and measurable. Complete Payroll Services is now saving several thousand dollars annually by eliminating their previous cloud storage service. Sales representatives are also saving 1 to 1.5 hours per deal thanks to the automation of routine communications and the digitization of agreement workflows. The overall experience with Zoho has improved significantly, providing a unified platform for everything from internal ticketing and project management to analytics and sales tracking.
