The Challenge
CPI moved from Asana to Zoho in early 2021 for growth potential. However, without a dedicated internal owner for implementation, CPI was limited by time and internal knowledge. As a result, they weren’t able to use Zoho to its fullest potential—especially for integrations and workflows designed around CPI’s specific operations.

Implementation
CPI’s implementation included multiple Zoho applications so their workflow could match their business model—not just project tracking inside Zoho Projects.
Zoho Projects: Rebuilding the Asana Workflow
- Configured Zoho Projects to match CPI’s project management flow from Asana.
- Re-authenticated and repaired Projects ↔ Analytics connectivity to stabilize reporting and data accuracy.
- Created automation to write Project IDs back to CRM Deals for consistent cross-app linking.
Zoho Cliq + Zoho Flow: Replacing Slack with Project Notifications
- Implemented project and task notifications inside Zoho Cliq to replace Slack-based internal updates.
- Built the notification logic through Zoho Flow so task/comment activity in Projects alerted the right users or channels.
- Refined notification behavior to reduce noise, optimize API usage, and improve usability during busy season.
Zoho Analytics: Operational Dashboards for Admin Visibility
- Built dashboards for Task Updates, Hours Spent, and Project Summaries.
- Added user filters to support drilldowns by person, project, and reporting “bucket.”
- Resolved over-calculation issues caused by duplicated Projects tables and SQL logic that was double-counting logged time.
Zoho Survey + Zoho CRM: Client Feedback Process (NPS)
- Created a client feedback Survey integrated with Zoho CRM, linking responses to the related company and contact.
- Used Zoho Survey (instead of a form) so responses could be updated later through a prepopulated survey link.
- Built automation to pass Contact IDs (and Deal IDs) via URL parameters, then updated contact records with NPS results.
- Added a mass action button for sending surveys manually and refined the “send on deal complete” workflow.
Results
CPI improved project communication, reporting visibility, and client feedback tracking by connecting Projects, Cliq, Flow, Analytics, and CRM into one operational workflow.
