Zoho CRM vs ActiveCampaign
Zoho CRM mainly charges for people using the sales system. ActiveCampaign's marketing plans scale with the size of your contact database. The right answer depends on what you need to run.

The Short Answer
These products overlap, but they do not start from the same place. ActiveCampaign is a marketing automation platform with optional sales CRM add-ons. Zoho CRM is a dedicated sales CRM that connects to separately licensed marketing products. If sophisticated email journeys drive your revenue, ActiveCampaign deserves serious consideration. If the hard problem is managing salespeople, deals, forecasts and business processes, Zoho CRM is usually the more natural starting point.
The licensing difference matters. Zoho CRM charges per CRM user, subject to data and file storage allowances. ActiveCampaign's marketing subscription scales by contact tier, with additional seats and Enhanced CRM features priced separately where needed. Neither comparison is complete until you price the features your team will actually use.
For example, five Zoho CRM Enterprise users cost $200 a month on annual billing, before optional products or additional storage. A marketing-led company with one operator might prefer ActiveCampaign, but a five-rep sales team evaluating ActiveCampaign needs a contact-tier quote plus its sales add-on and user-seat requirements. That is the real comparison.
What It Actually Costs
The headline prices below are US monthly equivalents under annual billing. ActiveCampaign's starting prices apply to 1,000 contacts; larger lists move into different pricing bands. Zoho CRM's prices refer to the number of full CRM users and do not include Zoho Campaigns or Zoho Marketing Automation.
| ActiveCampaign | Zoho CRM | |
|---|---|---|
| Base subscription model | Marketing contact tier and plan | Per licensed CRM user |
| Entry paid plan | Starter from $15/month at 1,000 contacts | Standard $14/user/month |
| Next relevant tiers | Plus from $49; Pro from $79 at 1,000 contacts | Professional $23; Enterprise $40/user/month |
| Included users | Starter 1; Plus 1; Pro 3; Enterprise 5 | Pay for the number of CRM users required |
| Additional users | Purchasable; price varies by plan | Additional full seats at the edition's rate |
| Sales deal pipelines | Paid Enhanced CRM add-on on Plus, Pro or Enterprise | Included CRM functionality |
| Advanced email journeys | Marketing automations; Pro unlocks additional capabilities | Separate Campaigns or Marketing Automation plan may be needed |
| Database growth | Contact count affects subscription tier | Not priced per contact; storage limits apply |
Published US starting rates, October 2026. ActiveCampaign's live contact calculator and add-on quotes determine the full cost; its published page does not expose a dependable static price for every contact tier. See ActiveCampaign pricing, Zoho CRM pricing and Zoho Campaigns pricing.
| Your situation | ActiveCampaign | Zoho-based approach | What to compare |
|---|---|---|---|
| 1 marketer, 2,000 contacts | Plus at the 2,000-contact tier; get current quote | Campaigns Free can handle up to 2,000 contacts and 6,000 emails/month; CRM optional | Automation features, not just price |
| 2 sellers, 10,000 contacts | Contact-tier plan + Enhanced CRM add-on + any extra user seat | $46/month for 2 CRM Professional users; marketing extra | Zoho is a strong sales-only value |
| 5 sales reps, 40,000 records | 40,000-contact tier + Enhanced CRM add-on + required seats; quote needed | $200/month for 5 CRM Enterprise users; marketing extra | Price the full sales configuration |
| 1 marketer, advanced email journeys, 1,000 contacts | Pro from $79/month; sales CRM add-on optional | Campaigns Professional or Marketing Automation priced separately | Compare the required journey features |
Illustrative configurations, not like-for-like feature bundles. Zoho amounts assume annual billing and exclude storage upgrades, paid marketing apps and implementation. ActiveCampaign amounts beyond the published 1,000-contact starting tier are intentionally quoted rather than estimated; additional seats and Enhanced CRM have not been assumed free.
The seat trap is different from what comparison sites suggest. ActiveCampaign Plus includes one seat, but you can buy additional seats without automatically moving to Pro. Pro includes three. The upgrade decision should be based on whether you need Pro's marketing features, the price of extra seats and the price of the Enhanced CRM add-on. Run your numbers.
One More Limit Worth Counting
Zoho CRM does not set its subscription price by the number of contacts, but unlimited records would be the wrong promise. Its data storage is edition-specific. Standard includes approximately 100,000 records across modules; Professional provides a 10 GB base allowance. For organizations with fewer than 200 users, Enterprise also starts at 10 GB, with additional allowances associated with paid users and optional storage purchases. File storage has separate limits.
ActiveCampaign has its own less obvious contact-count rule. For accounts created on or after November 3, 2025, all contacts count toward the contact limit regardless of subscription status. Older accounts generally count only active contacts under ActiveCampaign's published legacy policy. Account age can therefore change the cost of carrying the same list. Verify the rule that applies to your subscription.

Where ActiveCampaign Genuinely Wins
We are a Zoho Premium Partner, so that bias belongs in the open. For some marketing teams, ActiveCampaign's workflow is a better fit than assembling an equivalent multi-app stack.
The automation builder
ActiveCampaign's visual journeys support conditional paths, multiple triggers and marketing sequences closely tied to contact behavior. Pro adds features such as automation split testing, conditional email content and predictive sending. Those are meaningful advantages for teams testing and optimizing sophisticated email journeys, though availability depends on the plan. Zoho Campaigns and Zoho Marketing Automation also have journey tools, so compare the actual flows you need rather than an abstract feature score.
A marketing-first workspace
A marketer can build lists, email content, automations, landing pages and reporting inside one marketing platform. For a company that does not need an elaborate sales process, this can mean fewer applications to maintain. How quickly it goes live still depends on list hygiene, consent, integration requirements and the complexity of the journeys.
Behavior-driven journeys
Website and link tracking support engagement-based segmentation, and higher tiers add custom event tracking and deeper optimization tools. Zoho offers related functionality through CRM, Campaigns and Marketing Automation, but buyers should price and validate the connections among those applications before assuming the same workflow can be recreated at no extra cost.
Where Zoho CRM Wins
Contact volume is not the billing unit
This is the structural argument. A CRM team can add leads and contacts without automatically moving up a marketing-contact pricing tier. That is especially attractive for sales organizations carrying large historical databases. The qualification matters: stay within the CRM edition's data and file storage allowances, and budget additional storage if needed.
A fuller sales operating system
Leads, contacts, deals, forecasting, products, quotes and sales-process automation are native parts of Zoho CRM, with territory management and more complex approval or governance features available in appropriate higher editions. ActiveCampaign can manage deals and sales activity through its Enhanced CRM options; it simply approaches the problem from marketing first. A team with complex sales operations should compare the actual sales workflows, not just the contact management screens.
Predictable full-user pricing
Expanding from two sales reps to five changes the CRM seat count, not a marketing contact tier. At the published annual rates, five Professional users are $115 a month and five Enterprise users are $200 a month. ActiveCampaign also sells additional seats, so the relevant distinction is the combined price of contact volume, users and CRM functionality, not an imaginary one-user ceiling.
The rest of the Zoho ecosystem
Zoho Books handles accounting, Zoho Desk handles support, Zoho Projects handles delivery and Zoho Analytics helps report across systems. These are distinct products with their own licensing and integrations, not features automatically included in a Zoho CRM seat. For companies investing in connected sales and operations, the available suite and cross-application workflows are a substantial advantage when implemented properly.
The Third Option: Use Both
This often makes more sense than forcing one product to do the other's job. Keep ActiveCampaign for the marketing journeys that create revenue, and use Zoho CRM as the source of truth for leads, accounts, opportunities and sales activity. The applications can be connected through suitable integrations, though supported objects, sync direction and connector costs vary.
The financial question is which contacts really need to exist in ActiveCampaign. Keep non-marketable or purely historical records in the CRM when appropriate, and synchronize only the audiences needed for campaigns or automations. That can limit marketing contact tiers, particularly for newer ActiveCampaign accounts where all stored contacts count, even if unsubscribed. Do not remove records needed for compliance, suppression or audit purposes without a defined retention policy.
- Name the owner of each critical field Usually Zoho CRM owns the core sales record while ActiveCampaign owns campaign activity. Specify field-level rules for status, owner, lifecycle stage, tags and updates before turning on bidirectional sync.
- Sync selectively and prevent duplicates Choose the eligible audience using consent and business rules, then test identifiers, matching logic and record creation. A full-database sync may create a bigger marketing bill without producing more qualified prospects.
- Reconcile unsubscribes and consent Make sure marketing opt-outs, lawful-basis fields and suppression rules stay consistent in both systems. A one-way sync that reactivates an unsubscribed address is an operational and compliance problem.
- Budget and test the connector Integration marketplace listings are not a promise of every feature you need. Verify edition compatibility, two-way behavior, update frequency, error logging and any third-party subscription costs in a pilot.
So, Which Should You Pick?
Choose Zoho CRM if
- Your primary users are sales reps and sales managers
- You have a large sales database but a smaller marketable audience
- You need forecasting, quotes and more configurable sales processes
- You want CRM licensing to follow full-user count rather than contact tiers
- You plan to connect accounting, service or project delivery
Choose ActiveCampaign if
- Sophisticated marketing journeys are central to revenue
- You prioritize behavior-based segmentation and campaign optimization
- You can justify its contact-tier pricing for your marketable audience
- You need predictive sending or automation testing on an eligible plan
- Your sales needs fit the available Enhanced CRM add-ons, if needed
Common Questions
Is Zoho CRM cheaper than ActiveCampaign?
Often for a sales-led team with a large database, but not always. Zoho CRM charges per licensed user rather than per contact, subject to storage limits. ActiveCampaign's marketing plans scale by contact tier, with extra users and Enhanced CRM add-ons costing more where needed. Add the price of Zoho Campaigns or Marketing Automation if you need comparable email journeys.
Is ActiveCampaign a real CRM?
ActiveCampaign includes contact management in its base marketing plans. Paid Enhanced CRM add-ons on eligible Plus, Pro and Enterprise plans provide deal pipelines and sales automation. Zoho CRM starts as a dedicated sales platform and supports more extensive sales-process configuration in higher editions.
Can we run both?
Yes. Zoho CRM can hold your sales data while ActiveCampaign runs selected email journeys. Choose a compatible integration, define which records and fields to sync, and handle consent, unsubscribes and duplicate prevention deliberately. Connector fees may apply.
Does ActiveCampaign Plus include a team?
Plus includes one seat, but additional seats can be purchased without automatically upgrading to Pro. Pro includes three seats and Enterprise includes five. Price extra seats and the CRM add-on against the benefits of moving to a higher marketing tier.
