HubSpot vs Salesforce vs Zoho CRM

The familiar three-way CRM shortlist, compared on first-year cost, the capabilities you actually need, and what a move between platforms involves.

Updated October 2026 · 10 min read · Zenatta Consulting, Zoho Premium Partner

The Short Answer

These three CRMs overlap substantially, but each has a different practical strength. Comparing features without first defining your operating model is how teams end up paying for capabilities they do not use.

  • HubSpot is especially compelling when inbound marketing, lifecycle management, and sales execution need to run together. Its deeper marketing tools sit in separately priced Marketing Hub editions.
  • Salesforce is a strong fit for complex sales operations, enterprise governance, deep customization, and industry-specific requirements.
  • Zoho CRM offers substantial sales-process flexibility at a lower base price, with connections to separate Zoho apps for finance, support, projects, and operations.

For the editions compared here, the published annual-billing prices are $40 per Zoho CRM Enterprise user, $90 per HubSpot Sales Hub Professional seat, and $175 per Salesforce Sales Cloud Enterprise user per month. These are not identical feature bundles. The right comparison includes the extra products, administration, and implementation your use case requires.

Year One, Not Monthly

A per-user price is a useful starting point, not a full business case. HubSpot Sales Hub Professional has a published mandatory onboarding fee. Zoho CRM and Salesforce do not list a comparable mandatory onboarding charge for these editions, but either can still require paid implementation, migration, integration, or training.

Year two, if rates do not change$4,800$10,800$21,000

US published rates checked October 2026, annual billing, 10 paid sales users, no negotiated discounts. Year-two figures assume unchanged prices and seats. Administration ranges are qualitative and depend on complexity. Taxes, implementation, migration, additional products, and usage charges are excluded. Do not mistake HubSpot Sales Hub for the full marketing stack. Marketing Hub Professional separately starts at $800/month billed annually, includes 2,000 marketing contacts and three Core Seats, and carries a $3,000 one-time onboarding fee. At published standalone rates, that is $12,600 in first-year Marketing Hub subscription and onboarding costs before extra contacts or seats. Bundle pricing and negotiated quotes can differ. The $12,300 Sales Hub example above does not include Marketing Hub. See HubSpot's Marketing Hub pricing.

Two more costs belong in the decision. First, administration: a heavily configured Salesforce deployment may justify a dedicated administrator, but complex Zoho and HubSpot environments also require ongoing ownership. Second, implementation and integration: a low license bill can be offset by rebuilding custom processes, cleaning historical data, or connecting third-party products. Model your own case.

What Each One Is Actually For

HubSpot: when marketing and sales share the journey

If prospects arrive through content, forms, campaigns, and nurture programs, HubSpot is a natural candidate. Its platform brings marketing and sales teams together around contacts, companies, deals, and lifecycle data. More sophisticated automation, segmentation, and campaign capabilities depend on which Marketing Hub edition you buy.

A structural distinction matters in migration planning: HubSpot does have a dedicated Leads object in Sales Hub Professional and Enterprise. A HubSpot lead must be associated with a Contact or Company rather than existing independently. That is different from how many organizations use standalone Leads in Salesforce or Zoho CRM. Map both the prospecting record and its underlying association, not just a lifecycle-stage value.

Salesforce: when the process is genuinely complex

Multiple business units, complex territory structures, approval chains, custom data models, and industry-specific requirements can all justify Salesforce. Its platform extensibility, partner ecosystem, and mature administrator and developer talent market are meaningful advantages for organizations that use them.

The trade-off is total cost of ownership. Sales Cloud Enterprise starts at $175 per user/month with annual billing, and specialist products, implementation, ongoing administration, or consumption-based capabilities may add to the bill. If your team mostly needs a conventional sales pipeline, you should test whether those capabilities justify their cost.

Zoho CRM: when connected operations and cost matter

Zoho CRM Enterprise at $40 per user/month annually billed includes features such as territory management, custom modules, approvals, automation, sandboxes, and eligible Zia AI capabilities. It is a credible option for mid-market companies that need a configurable CRM without paying Salesforce Enterprise subscription prices.

Zoho also offers separate products for accounting, support, projects, inventory, email marketing, and more. Those products are not all included in a Zoho CRM Enterprise license, nor do they automatically share one universal database. Connections can involve native integrations, field mapping, synchronization, and additional subscriptions. Salesforce still has the broader enterprise app and specialist talent ecosystem; Zoho has vertical CRM offerings and configurable industry solutions, but they should not be assumed equivalent to every Salesforce Industry Cloud.

Base subscription comparison only. HubSpot's 25-seat Sales Hub Professional total is $28,500 in year one with the published $1,500 onboarding fee, then $27,000 annually if pricing is unchanged. The platforms and editions are not feature-equivalent; additional products and implementation can materially change total cost.

Which Shortlist Are You Actually On?

Most teams arriving here are choosing between two platforms, not three. Identify the real trade-off, then test it against your required integrations, reporting, governance, and budget.

HubSpot or Zoho

You are comparing HubSpot's integrated approach to inbound marketing and sales with Zoho's lower-priced CRM and broader family of separately licensed operational apps. If advanced marketing automation is essential, compare HubSpot Marketing Hub against the appropriate Zoho marketing products, not Sales Hub against CRM alone.

Salesforce or Zoho

You are testing enterprise-specific complexity against recurring cost. Salesforce's custom development, specialized products, and ecosystem may be worth retaining. If those capabilities are not central to daily operations, model the savings from a Zoho deployment after accounting for migration and rebuild work.

If your real choice is HubSpot versus Salesforce, with Zoho as the budget alternative, compare those two on their merits. A vendor's strengths matter more than its rank in somebody else's feature checklist.

What Migrating Involves

Zenatta's Salesforce-to-Zoho and HubSpot-to-Zoho project experience informs the scenarios below. The native migration tools can handle many standard records, but the work that changes timelines is usually data relationships, history, and custom process behavior. These examples describe situations we have encountered, not limitations that apply to every source account.

  • From HubSpot: map Leads and lifecycle history separately HubSpot Sales Hub Professional and Enterprise have a dedicated Leads object, but each lead must relate to a Contact or Company. Zoho's documented HubSpot migration mapping covers standard objects such as Companies, Contacts, Deals and activities; do not assume its standard import recreates every HubSpot Lead record and association. Decide how prospecting Leads and qualified Contacts should appear in Zoho before importing.
  • From HubSpot: test associations and special field types Zoho's native HubSpot migration supports several standard record relationships, so associations do not universally break. Custom objects, unusual many-to-many relationships, and some field types may still need manual mapping or a repair pass. In specific Zenatta projects, checkbox-field mapping and certain associations have required additional cleanup. Test representative records before running the full migration.
  • From Salesforce: attachments and notes need validation Zoho's Salesforce migration tooling explicitly supports notes and attachments, including attachment-mapping files that preserve parent associations. But complicated Salesforce Files, legacy documents, enhanced notes, or inconsistent exports can require custom handling. On one engagement, we used automation to process files; on another, Zoho Analytics helped us reconstruct record relationships before importing notes. These were project-specific solutions, not requirements of every Salesforce migration.
  • From Salesforce: custom Apex and managed-package logic do not transfer directly The business behavior built in Apex, Lightning components, and Salesforce-specific packages must be assessed and, where necessary, reimplemented using Zoho capabilities or other integrations. Inventory these dependencies early. Sometimes the rebuild cost makes staying and renegotiating the better choice.
  • Either direction: stage complex data when it helps For difficult migrations, we may use Zoho Analytics or another controlled staging process to normalize data, rebuild relationships, and validate mappings. This improves traceability for complicated work, but a clean standard-object migration can often use native migration tools without an analytics staging layer.

Common Questions

Which is better, HubSpot, Salesforce or Zoho CRM?

There is no universal winner. HubSpot is particularly compelling when inbound marketing and sales share one customer journey. Salesforce is suited to complex enterprise processes and governance. Zoho CRM is attractive when a capable, configurable CRM and lower recurring license costs matter most. Check the exact edition and connected apps you need.

What does HubSpot cost in year one?

Ten Sales Hub Professional seats cost $10,800 per year at $90 per seat/month with annual billing, plus the published $1,500 required onboarding fee: $12,300 in year one. Marketing Hub is not included in that example. Marketing Hub Professional separately starts at $800/month with $3,000 required onboarding and 2,000 included marketing contacts. Actual quotes can differ with bundles, seats, and contact tiers.

Which is cheapest: HubSpot, Salesforce or Zoho CRM?

At the specific tiers compared, Zoho CRM Enterprise has the lowest published base license price. For 25 paid users, it is $12,000 per year versus $27,000 for HubSpot Sales Hub Professional before its onboarding fee and $52,500 for Salesforce Sales Cloud Enterprise. A fair total-cost comparison also includes any marketing, service, implementation, and integration requirements.

Can we move between these CRMs later?

Yes, but the complexity depends on your data model. Standard contacts, companies or accounts, and deals or opportunities are usually simpler than historical files, notes, HubSpot Leads associations, custom objects, or Salesforce Apex. Zoho has native migration tools for supported records; validate field mappings and related history before committing to a migration date.
