8 Salesforce Alternatives

Seven competing platforms and one often-overlooked alternative: stay and renegotiate. We compare real licensing costs, what you give up, and what a migration actually involves.

The Short Answer

The first question is not which alternative. It is whether your problem is Salesforce or your Salesforce implementation.

If you are paying $175 per user per month for Sales Cloud Enterprise but relying on a relatively conventional sales process, a less expensive CRM could cover your requirements. Zoho CRM Enterprise at $40 per user per month is one strong value option. Dynamics 365 Sales Enterprise at $105 deserves consideration in Microsoft-centric companies; Pipedrive is worth a look when pipeline management is the primary job.

But when your org depends on years of Apex, Lightning components, managed packages, or a tightly integrated industry solution, the replacement and validation work can erase the licence savings. Option eight is staying and renegotiating. This guide covers seven platforms plus that option, not eight competing CRM vendors.

Why Teams Actually Leave Salesforce

  • Paying for more platform than the business uses. Sales Cloud Enterprise lists at $175 per user per month with annual billing. If teams only use core pipeline and reporting features, the gap between subscription cost and everyday value can be significant.
  • Administration and implementation affect total cost. Complex Salesforce environments may require an internal platform owner, specialist support, or external consulting. Simpler CRMs can reduce overhead, although sophisticated deployments of any CRM need governance.
  • Renewals change the math. Salesforce announced list-price increases averaging 6% for affected Enterprise and Unlimited products effective August 2025. Your actual renewal depends on the agreement, negotiated terms, usage, and product mix, not a universal escalator.
  • The full stack costs more than a seat. Certain AI, marketing, quoting, integration, storage, and support capabilities can require additional licensing or usage-based charges. Some AI and sandbox capabilities are already included in specific Salesforce editions, so price only what you actually need.

How we compared these. Published US list pricing reviewed October 2026, using the per-user monthly equivalent of annual billing unless otherwise indicated. We call out promotional rates, required onboarding, important add-ons, and the tradeoffs in each option. The products and tiers below are not feature-for-feature equivalents. Zenatta is a Zoho Premium Partner, which is relevant context for our recommendation.

The Eight Alternatives

Best cost-to-capability for many mid-market teams

Zoho CRM

$14 / $23 / $40 / $52 per user/mo

Zoho CRM Standard, Professional, Enterprise, and Ultimate carry those US rates with annual billing. Enterprise at $40 includes custom modules, territories, approval processes, sandbox functionality, and Zia features subject to edition and usage limits. It can cover many mid-market sales workflows without the Salesforce price point, but complex integrations and governance still need an owner.

Where it wins

  • $40 versus $175, a $40,500 annual base-license difference at 25 seats
  • No vendor-mandated onboarding package for standard CRM subscriptions
  • Configurable modules and automations without Apex development
  • Broader Zoho ecosystem for finance, projects, service, and operations
  • Published US subscription tiers

Where it falls short

  • Fewer packaged industry-specific solutions than Salesforce
  • Smaller specialist administrator and app partner market
  • Some advanced governance or multi-org scenarios require more design work
  • Marketplace and managed-package coverage differ from AppExchange
Best if you are a Microsoft organization

Microsoft Dynamics 365 Sales

$65 / $105 / $150 per user/mo

Sales Professional, Sales Enterprise, and Sales Premium list at $65, $105, and $150 respectively, paid yearly. Sales Enterprise offers robust customization, automation, and governance, while the fit with Outlook, Teams, and Microsoft 365 can simplify the surrounding workflow. The licensing and Power Platform architecture still need careful scoping.

Where it wins

  • Sales Enterprise is $105 versus Salesforce Enterprise at $175
  • Deep connections to Microsoft 365, Teams, Outlook, and Power Platform
  • Team Members licensing can serve limited-access use cases, not full sales reps
  • Eligible attach licences for a second Dynamics app may cost $20 or $30 per user/mo
  • Established Microsoft implementation partner network

Where it falls short

  • Administration, implementation, and environment governance remain substantial
  • Base/attach eligibility and app-specific rules complicate licensing
  • Teams outside Microsoft's ecosystem may see fewer integration benefits
  • Customization migration requires its own discovery and rebuild plan
Best for teams unifying sales and marketing

HubSpot

Free (2 users) / Starter $20 list ($7 offer) / $90 / $150 per seat/mo

HubSpot connects sales and marketing activity around a shared CRM. Sales Hub Professional is $90 per seat per month with annual billing, plus $1,500 required one-time onboarding; Enterprise is $150 plus $3,500 required one-time onboarding. Starter currently advertises $7 per seat per month for eligible new customers against its $20 listed rate. Verify promotional eligibility before using that figure in a budget.

Where it wins

  • Connected prospect, marketing, and sales records in one user experience
  • Accessible interface and large agency/integration ecosystem
  • Sales Hub Professional adds deeper sales workflows and sequences

Where it falls short

  • Required Sales Hub onboarding: $1,500 Professional, $3,500 Enterprise
  • Advanced Marketing Hub automation is a separate subscription
  • Marketing Hub costs depend partly on billable marketing-contact tiers
  • Starter includes limited workflows; more powerful automation is tier-gated
  • Complex enterprise customization can require higher tiers or additional tools
Best for sales teams centered on pipeline management

Pipedrive

$14 / $39 / $59 / $79 per seat/mo

Pipedrive's Lite, Growth, Premium, and Ultimate tiers keep the CRM experience focused on selling. The current plan names were introduced in 2025. Growth adds email sync and automations, while Premium includes more advanced customization and the Projects app for post-sale delivery. The right comparison is the workflow your team needs, not pipeline-only assumptions about the entire product.

Where it wins

  • Focused deal management with relatively straightforward setup
  • Growth provides email sync and workflow automations
  • Projects included in Premium and Ultimate for post-sale work
  • Transparent per-seat plans and a 14-day trial

Where it falls short

  • Less suitable for extensive custom object models and enterprise governance
  • Automation starts at Growth rather than Lite
  • Projects is a paid add-on for Lite and Growth
  • Campaigns, some integrations, and capacity top-ups cost extra
Best lower-budget full sales CRM

Freshsales

Free (3 users) / $9 / $39 / $59 per user/mo

Freshsales offers a three-user free plan and Growth, Pro, and Enterprise editions at $9, $39, and $59 per user per month when billed annually. Built-in chat, email, and phone capabilities make it attractive for high-activity sales teams. Enterprise adds advanced governance features such as custom modules, audit logs, and a sandbox.

Where it wins

  • $9 Growth entry point for paid sales CRM
  • Built-in phone interface, email, and chat tools
  • Free plan supports up to three users
  • Enterprise tier adds custom modules and sandbox access

Where it falls short

  • Calling numbers, telephony usage, and certain document features may cost extra
  • More advanced workflows and territories require higher tiers
  • Smaller complex-enterprise customization ecosystem than Salesforce
Best for service businesses connecting sales and delivery

Insightly

$29 / $49 / $99 per user/mo (14-day trial)

Insightly pairs CRM with native project-management capabilities. Plus, Professional, and Enterprise list at $29, $49, and $99 per user per month with annual billing. The previously offered permanent free CRM plan is no longer available to new customers; Insightly advertises a 14-day trial instead. The real value for consultancies and agencies is moving from an opportunity into a delivery workflow without changing systems.

Where it wins

  • Native project-management workflows alongside sales records
  • Relevant for professional services and implementation-based businesses
  • CRM starts at $29 per user per month, billed annually

Where it falls short

  • No permanent free CRM tier; trial is time-limited
  • Insightly Marketing, Service, and AppConnect have separate pricing
  • Required onboarding and setup charges can apply to All-in-One bundles
  • Smaller third-party and consultant ecosystem
Best when the requirement extends into ERP

Odoo

Standard $24.90 / Custom $49 introductory per user/mo

Odoo belongs on this list when a Salesforce replacement project is actually about inventory, manufacturing, accounting, or connected operations. Its paid Standard and Custom subscriptions include access to Odoo's apps, but the advertised annually billed US rates of $24.90 and $49 are promotional for the first 12 months on initial users. The listed non-discounted rates are $31.10 and $61 respectively. Odoo also offers One App Free for unlimited users.

Where it wins

  • Manufacturing, inventory, warehouse, finance, and CRM in one system
  • One paid user subscription covers Odoo's app suite, subject to plan restrictions
  • Odoo Community is open source; Custom supports on-premise deployment

Where it falls short

  • 12-month promotional pricing changes the second-year business case
  • External API, Odoo Studio, and on-premise hosting require Custom
  • Odoo.sh hosting is billed separately
  • ERP implementation can be materially more complex than a CRM migration
The option most comparison lists skip

Stay and renegotiate

No migration required; savings depend on contract

A credible competitive evaluation can strengthen a Salesforce renewal conversation. But a discount is not automatic and depends on contract timing, product commitments, seat counts, and negotiation. Start by removing unused licenses or add-ons, checking edition fit, and reviewing renewal language with procurement.

Staying is especially defensible when your business relies on industry-specific workflows, extensive Apex, Lightning components, or managed packages. Estimate the full rebuild, integration, testing, and retraining cost before assuming a cheaper platform will pay back within one or three years. In some environments it will; in others it will not.

Where it wins

  • Avoids the disruption and risk of a system migration
  • Keeps current custom development and industry solutions in service
  • Right-sizing and competitive proposals can support negotiation
  • Preserves integrations and existing user experience

Where it falls short

  • Discounts are discretionary and contract-specific
  • Core complexity and administration do not disappear
  • Reducing the bill will not repair a poor workflow or low adoption
  • Contract terms may limit near-term flexibility

What 25 Seats Cost Per Year

Platform & tier Per user/mo 25 seats / year Admin complexity

Salesforce Enterprise$175$52,500Moderate to high
Dynamics 365 Sales Premium$150$45,000Moderate to high
Dynamics 365 Sales Enterprise$105$31,500Moderate to high
HubSpot Sales Hub Professional$90$28,500*Low to moderate
Insightly Professional$49$14,700Low to moderate
Pipedrive Premium$59$17,700Low to moderate
Freshsales Enterprise$59$17,700Low to moderate
Odoo Standard (introductory)$24.90$7,470**Varies with ERP scope
Odoo Custom (introductory)$49$14,700**Varies with ERP scope
Zoho CRM Enterprise$40$12,000Low to moderate

US pricing, monthly equivalents with annual billing. Estimates use 25 equally licensed users and list prices, without tax, migration, implementation, training, optional services, usage charges, or negotiated discounts. The listed products are not functionally equivalent. Admin complexity is qualitative and depends on configuration.

* HubSpot Sales Hub Professional year one includes its required $1,500 onboarding fee: 25 × $90 × 12 + $1,500 = $28,500. Recurring subscription alone is $27,000/year. Marketing Hub and its onboarding/marketing-contact costs are excluded.

** Odoo promotional rates apply to the initial users for the first 12 months. At currently displayed non-discounted rates, 25 Standard users cost $9,330/year and 25 Custom users cost $18,300/year. Check Odoo's actual renewal quote.

License savings are not the same as total savings. Salesforce Enterprise at 25 seats lists at $52,500 per year against $12,000 for Zoho CRM Enterprise, an annual base-license difference of $40,500 before taxes and other charges. Compare this against implementation, integrations, data remediation, governance, training, support, and custom-workflow rebuilds over a three-year horizon. Model it properly.

What Leaving Salesforce Actually Involves

Zenatta has handled Salesforce migration work across technology and SaaS, benefits administration, travel, professional services, manufacturing, and retail. Zoho CRM's native Salesforce migration tool supports common objects, including leads, accounts, contacts, opportunities/deals, notes, attachments, cases, products, quotes, and price books. Supported does not mean every source org migrates cleanly. The quality of the export, data relationships, and destination design determine how much remediation is required.

  • Salesforce Files and attachments need validation Zoho's migration wizard supports standard Salesforce attachments and association mapping. Some source orgs also rely on newer Salesforce Files, ContentVersion records, complex sharing, or large volumes. In one client project, Zenatta used scheduled automation to process files that the standard path did not cover as needed.
  • Notes and relationships sometimes need reconstruction Native notes migration is supported, but enhanced-note exports and unusual parent associations can still demand relationship mapping. In one engagement, we used Zoho Analytics tables and a query to link notes to their destination records before import.
  • Historical email is a separate migration decision Do not assume every Salesforce email record or historical activity will reproduce exactly as a native Zoho email thread. Evaluate retention requirements, email source, visibility, ownership, and reporting. For one complex migration, we retained email history in a custom module to keep the records searchable.
  • Service-case history may need restructuring Cases can be migrated as records, but related comments, files, activities, and support history can require additional transformation. In a support-heavy project, we reconciled source history with new destination record IDs across multiple data sets.
  • Custom Apex and Lightning functionality must be redesigned Source-specific code and managed packages do not run unchanged in a different CRM. Inventory business logic, scheduled jobs, integrations, industry functionality, and user interfaces before scoping the target platform. Some requirements can be configured; others require an equivalent custom build or a third-party app.
  • Stages, products, permissions, and deduplication need a plan Map sales stages, owners, products, price books, quotes, security roles, and related objects deliberately. Clean up duplicate data and validate reporting totals before decommissioning the old system.

How long it takes. In Zenatta's experience, a straightforward mid-sized CRM migration can take roughly a month, while email, service history, attachments, and complex custom functionality may extend the project to several months. One client engagement spanning CRM and service-desk requirements lasted close to a year. These are examples from past project work, not guaranteed implementation timelines.

How to Actually Choose

Start from why you are leaving

  • Mid-market cost and flexibility → Zoho CRM
  • Microsoft-centered IT environment → Dynamics 365
  • Marketing/sales alignment → HubSpot, with both hubs priced
  • Primarily sales pipeline → Pipedrive
  • Lower-cost sales CRM with telephony → Freshsales
  • Delivery following the sale → Insightly
  • ERP, manufacturing, or inventory first → Odoo
  • Heavy Salesforce-specific customizations → evaluate renegotiation

Then run these four checks

  • Inventory custom code, automations, packages, and integrations
  • Build a three-year total-cost model, not just a license table
  • Test essential workflows, compliance, reporting, and historical data
  • Get competitive quotes and review Salesforce renewal terms

Common Questions

What is the best Salesforce alternative?

For many mid-market teams focused on reducing subscription spend, Zoho CRM Enterprise at $40 a user per month is a strong alternative to Salesforce Enterprise at $175. Microsoft-centric organizations should evaluate Dynamics 365 Sales Enterprise at $105. HubSpot is compelling when sales and marketing need a shared platform; Pipedrive suits pipeline-centered teams. Your workflows and implementation requirements determine the best fit.

Why is Salesforce so expensive?

The $175 per-user monthly list price for Sales Cloud Enterprise is only one component. Integration, implementation, support, optional products, usage-based services, and ongoing administration can materially change total cost. Exact needs vary by organization.

Will we lose functionality by moving off Salesforce?

Possibly. Custom Apex, Lightning components, managed packages, industry solutions, and certain enterprise controls may require replacements or process changes. Audit features actually in use and test the destination against those requirements.

Should we renegotiate Salesforce instead of migrating?

Sometimes. If your current environment includes expensive-to-rebuild customization or industry functionality, a renewal negotiation and license right-sizing exercise may create a better near-term return. Compare both options using full three-year costs.

Price the Rebuild, Not Just the Licence

The best migration decision starts with your seat count, Salesforce edition, integrations, and custom development. Zenatta can help inventory the work, model the potential savings, and decide whether moving platforms beats right-sizing or renegotiating your current contract. If staying is the better business case, we will say so.
