The Short Answer
Pipedrive is capable sales software. Before replacing it, identify whether your problem is the cost of your current plan, a missing workflow, or a need for a broader business platform. Those call for different answers.
If price is the problem, start with Zoho Bigin or Freshsales. Zoho Bigin Express starts at $7 per user per month with annual billing; Freshsales Growth starts at $9. Both cost less than Pipedrive Growth at $39, although automation and collaboration features are not equivalent.
If you need more CRM customization or business-wide integrations, consider Zoho CRM. Its Standard and Professional plans start at $14 and $23 per user per month with annual billing. The related Zoho accounting, project and support applications are separate products, integrated rather than built into one CRM license.
If the issue is work after closed-won, check Pipedrive Projects first. Projects is included in Premium ($59) and Ultimate ($79), and can be added to Lite or Growth. You may already be closer to the functionality you need than you think.
And if Pipedrive fits the team's workflow, staying is a legitimate decision. Switching has a migration, integration and adoption cost that a cheaper seat price may not offset.
Why Teams Actually Leave Pipedrive
- The Lite-to-Growth step. Pipedrive's annual-billing rate rises from $14 to $39 per seat per month. Growth adds full email synchronization, tracking, automation and nurturing sequences, which some teams need early.
- Add-on economics. LeadBooster, Projects and Smart Docs are additional purchases on Lite and Growth but included with Premium and Ultimate. Campaigns and Web Visitors remain paid add-ons. Check the actual plan and any usage top-ups before pricing a move.
- Automation and usage allowances. Limits depend on the subscription and feature; increasing headcount alone does not always increase a company-wide allowance.
- Broader operational needs. Pipedrive does offer post-sale project management, but some businesses need more sophisticated service delivery, finance, inventory or support processes in connected products.
- No permanent free plan. Pipedrive offers a 14-day trial rather than an ongoing free subscription.
How we compared these. Published U.S. per-seat prices are monthly equivalents under annual billing, checked October 2026. Onboarding, add-ons, usage fees and seat minimums are identified separately. These are not feature-matched editions. Zenatta is a Zoho Premium Partner and implements Zoho products; factor that perspective into our recommendations. Pipedrive introduced its Lite, Growth, Premium and Ultimate lineup in 2025.
The Eight Alternatives
Zoho Bigin
Free (1 user) / Express $7 / Premier $12 / Bigin 360 $18 per user/moIf your team likes managing prospects in pipelines and mainly wants a lower subscription bill, Bigin is the first product to examine. Express is $7 per user per month with annual billing, and Premier and Bigin 360 provide additional automation, records and process limits. It is not simply a dead-end pipeline tool: higher plans support customer-facing workflows beyond initial sales.
Where it wins
- Express costs half Pipedrive Lite's published annual rate
- Focused interface with pipelines, contacts and activities
- Free option for a single user; upgrade path toward Zoho CRM
- Bigin 360 extends record capacity and workflow options
- Integrates with other Zoho applications, subject to setup and product licensing
Where it falls short
- Entry-level automation and customization are more limited than a mature full CRM
- Free plan has a small record allowance
- Not feature-equivalent to Pipedrive Growth or Premium
- Some more complex workflows still call for Zoho CRM
Zoho CRM
Free (up to 3 users) / $14 / $23 / $40 / $52 per user/moZoho CRM is worth evaluating when you need custom modules, multiple workflows, more advanced sales processes or integration with other business departments. Standard starts at $14 per user per month with annual billing and includes workflow automation; Professional at $23 adds Blueprint process management. More demanding governance and customization needs may require Enterprise or Ultimate.
Where it wins
- Standard workflow automation costs less than Pipedrive Growth
- Professional adds process enforcement through Blueprint
- Native integrations with Zoho Books, Projects and Desk
- Advanced CRM customization as requirements grow
Where it falls short
- Usually requires more configuration and user training
- Not all workflows are available in the $14 tier
- Books, Projects and Desk have separate subscriptions or licensing
- Cross-product processes rely on integrations and synchronization, not one shared database
Freshsales
Free (up to 3 users) / Growth $9 / Pro $39 / Enterprise $59 per user/moFreshsales Growth offers contact and deal management, email, built-in calling capabilities and basic workflows at $9 per user per month billed annually. Pro at $39 adds features such as sales sequences, scoring and territory management. It is worth reviewing when you want a broader CRM without starting at Pipedrive Growth's subscription price.
Where it wins
- $9 Growth tier includes basic workflows
- Up to three users on the free plan
- Native calling and email capabilities
- Part of the wider Freshworks product ecosystem
Where it falls short
- Growth provides a limited number of sales pipelines
- Call usage, numbers and other telephony services can cost extra
- Sales sequences and advanced capabilities require Pro or higher
- Post-sale support and delivery require separate tools or processes
monday CRM
Basic $12 / Standard $17 / Pro $28 per seat/momonday CRM provides sales pipelines and workflows in a configurable workspace, with ways to coordinate sales and delivery teams. Pro is $28 per seat per month billed annually, not the approximately $24 quoted in older comparisons. It can work well when project visibility and handoffs matter as much as a salesperson's daily pipeline.
Where it wins
- Sales and delivery teams can coordinate within the monday ecosystem
- Visual boards and no-code workflow customization
- Basic tier starts below Pipedrive Lite's annual rate
Where it falls short
- Minimum three seats and additional seat-package rules may apply
- Automations and integrations have plan-based action limits
- Cross-product work-management licenses can increase total cost
- Not every Pipedrive sales feature is included in equivalent-priced plans
HubSpot Sales Hub
Free (up to 2 users) / Starter $20 / Professional $90 / Enterprise $150 per seat/moHubSpot makes the most sense when the reason to move is broader alignment between sales, inbound marketing and customer service, rather than a cheaper pipeline. Sales Hub Starter has limited automation. Professional adds more advanced workflows and sequences at $90 per paid sales seat per month on annual commitment, plus required one-time onboarding of $1,500 at the published U.S. rate. Eligible Starter promotions may be lower than its regular $20 list rate.
Where it wins
- Connected sales, marketing and service platform
- Free CRM and a limited-automation Starter tier
- Large implementation partner and integration ecosystem
Where it falls short
- Advanced sequences and workflows require higher-priced plans
- Professional requires one-time onboarding at listed U.S. rates
- Marketing Hub costs and marketing-contact tiers are additional
- Can cost substantially more than Pipedrive for a sales-only team
Copper
Basic $23 / Professional $59 / Business $99 per seat/moCopper centers its workflow around Gmail and Google Workspace. Its current published annual-billing entry price is $23 per seat per month, not the older $9 Starter rate. Basic includes pipelines, task automation and project management, so it can support more than just the sales opportunity.
Where it wins
- Strong Google Workspace integration
- Pipeline and project management on Basic
- Professional adds broader workflow automation and integrations
Where it falls short
- Entry price is above Pipedrive Lite, Bigin Express and Freshsales Growth
- Basic limits the number of contacts
- Less compelling outside Google-centric organizations
- Advanced workflows require higher tiers
Insightly
Plus $29 / Professional $49 / Enterprise $99 per user/moInsightly combines sales CRM and project management, including turning won opportunities into delivery work. It suits consulting and services teams that need a clear sales-to-project handoff. Current U.S. pricing lists a 14-day free trial; a permanent free two-user plan is no longer advertised.
Where it wins
- Native CRM and project-management capabilities
- Useful deal-to-delivery workflows for agencies and consultancies
- Professional at $49 is less than Pipedrive Premium's $59 list rate
Where it falls short
- No currently advertised permanent free CRM plan
- Entry price is above Pipedrive Lite
- Marketing automation and support are separate Insightly products
- Features and total cost change across editions
Attio
Free (up to 3 seats) / Plus $35 / Pro $79 / Enterprise custom per user/moAttio is built around configurable records, objects and workflows rather than a narrowly fixed sales template. It is attractive for technical go-to-market teams that want more control over their data structure. Its current published annual prices are $35 for Plus and $79 for Pro per user per month; Plus has a 10-seat limit.
Where it wins
- Flexible data models and custom objects
- API and workflow capabilities for technical teams
- Free tier for up to three users
Where it falls short
- Pro costs substantially more than Pipedrive Lite or Growth
- Plus has a 10-seat limit
- Dedicated accounting, support and delivery may need extra apps
- Complex setups still require design and maintenance
What a 10-Seat Team Pays Per Year
| Platform & tier | Per seat/mo | 10 seats / year | Post-sale option |
|---|---|---|---|
| Pipedrive Growth (current) | $39 | $4,680 | Projects paid add-on |
| Pipedrive Premium | $59 | $7,080 | Projects included |
| HubSpot Sales Hub Professional | $90 | $12,300 | Separate service/delivery options |
| Insightly Professional | $49 | $5,880 | Projects included |
| Freshsales Pro | $39 | $4,680 | Additional Freshworks tools |
| Attio Pro | $79 | $9,480 | Workflows or third-party apps |
| Zoho CRM Professional | $23 | $2,760 | Integrations with separate Zoho apps |
| monday CRM Pro | $28 | $3,360 | Delivery workflows in the monday ecosystem |
| Zoho Bigin Express | $7 | $840 | Limited workflows; related Zoho apps |
| Copper Basic | $23 | $2,760 | Project management included |
U.S. published list prices as of October 2026, billed annually. HubSpot's $12,300 includes a $1,500 mandatory one-time Professional onboarding fee; the other figures are subscription-only. Taxes, migrations, onboarding services for other providers, add-ons, usage fees, and marketing products are excluded. Plans are not functionally equivalent. For monday CRM, the calculation assumes 10 payable seats.
Do not buy from a price table alone. Pipedrive Premium includes Projects, LeadBooster and Smart Docs; Premium can be less expensive than Growth plus separate add-ons, depending on the users and features involved. Before switching, compare the cost of the closest practical configuration, not just entry tiers. Run the numbers.
How to Actually Choose
Start from the problem
- Want a cheaper, focused pipeline CRM → Zoho Bigin
- Want basic automation at a lower entry price → Freshsales Growth
- Need more configurable sales processes → Zoho CRM
- Need post-sale projects → compare Pipedrive Projects, Insightly and monday CRM
- Marketing and sales on one platform → evaluate HubSpot
- Work mainly in Gmail → Copper
- Need custom data objects → Attio
Then compare the full cost
- Check your Pipedrive plan and which add-ons it already includes
- Count paid seats, minimums and plan-based usage allowances
- Separate basic workflow automation from advanced sequences
- Price any accounting, support or marketing applications needed
- Budget migration, integrations, training and possible productivity disruption
One outcome deserves equal attention: stay on Pipedrive. A well-adopted system with the right add-ons or plan can cost less overall than moving a sales team onto a cheaper license with a more expensive implementation.
What Leaving Pipedrive Actually Involves
Zenatta has worked on Pipedrive migrations for organizations with different sales processes. These are the areas we would scope before committing to a replacement; the exact export and import approach depends on the source configuration and destination CRM.
- Map leads, deals, people and organizations separately Pipedrive has a dedicated Leads Inbox as well as deal records. Preserve each record type's identity and relationships, then decide how leads and contacts map into the destination CRM. Do not assume every Pipedrive person should become a lead.
- Inventory attachments and files Attachments may need a dedicated export and import procedure. We have used API-based handling in suitable engagements, but available migration tools and destination APIs determine whether custom development is necessary.
- Protect open activities and future commitments Scheduled meetings, calls, tasks, owners and due dates need an explicit migration and validation plan. A separate recovery pass may be useful, but is not always required.
- Review pipelines before reproducing them Identify obsolete stages and inconsistent definitions, then agree on revised mappings with sales leaders. Preserve the historical meaning of closed-won and closed-lost outcomes so reports remain interpretable.
- Rebuild and test workflows, integrations and reporting Automation logic, lead routing, email synchronization and post-sale handoffs may need redesign. Validate record associations, totals and representative cases before turning off the old system.
Common Questions
What is the best Pipedrive alternative?
Zoho Bigin is a useful lower-cost option for a team focused on pipeline management. Freshsales provides basic workflows from $9 per user per month on annual billing. Zoho CRM fits more configurable sales processes; Insightly and monday CRM deserve consideration for project-led teams. Check Pipedrive Projects before leaving just for post-sale delivery.
Why do companies leave Pipedrive?
Common reasons include the $14-to-$39 price step between Lite and Growth, optional add-on costs, and workflows that extend beyond its sales-centered feature set. But Pipedrive does support post-sale Projects: it is included on Premium and Ultimate and available for a fee on Lite and Growth.
Is there a cheaper alternative to Pipedrive?
Yes. At annual-billing rates, Bigin Express is $7, Freshsales Growth is $9 and monday CRM Basic is $12 per seat per month, compared with Pipedrive Lite at $14. Those tiers have different included features and seat minimums, so compare the configuration you actually need.
Does Pipedrive have leads and project management?
Yes. Pipedrive's Leads Inbox stores prospective opportunities before they become deals. Its Projects feature handles post-sale onboarding and delivery; Projects is included in Premium and Ultimate and sold separately on Lite and Growth.
Will our Pipedrive deal history and files move?
Potentially, but each data type needs mapping and testing. Leads, deals, people, organizations, activities and associations must be considered separately. Attachments may require special export or API work, and open activities should be verified after import.
Is Moving from Pipedrive Actually Worth It?
Tell us what you currently pay for Pipedrive, which add-ons are enabled, how many people use it and which workflows need improvement. We can compare a plan change, an integration and a CRM migration, including the implementation cost. If staying on Pipedrive solves the problem more economically, that is worth knowing before you move.
