Zoho Books vs FreshBooks

Both handle invoicing and accounting. The real differences are what you pay for team access, how each handles inventory, and which usage limits your business reaches first.

The Short Answer

For solo service professionals, FreshBooks is a strong choice. Its invoicing and time-tracking workflow is designed around billing client work, and FreshBooks Plus is slightly cheaper than Zoho Books Professional for one user when both are paid annually: $38.70 versus $40 per month equivalent.

For growing teams, Zoho Books often costs less. Professional includes five users for $40 per month billed annually ($50 with monthly billing). FreshBooks Plus costs $38.70 per month billed annually ($43 monthly), with an additional $11 per month for each paid team member beyond the account owner. Four paid users work out to $480 per year on Zoho Books Professional versus about $860.40 on FreshBooks Plus, before optional add-ons or promotions.

Inventory is a difference in depth, not a yes-or-no feature. FreshBooks provides basic stock tracking for items sold on invoices. Zoho Books Professional adds sales and purchase orders and more detailed inventory accounting. Both products also support double-entry accounting, although some FreshBooks accounting tools require Plus or above.

Before making a decision, check the client and invoice limits, and ask your bookkeeper what a migration would cost. A better subscription price does not automatically justify switching.

Regular U.S. list pricing checked October 21, 2026. "Monthly" means paid month-to-month; "annually" means the monthly equivalent of a 12-month payment. Figures exclude promotions, taxes, payment processing and optional add-ons. FreshBooks Select and additional Zoho Books tiers are not shown.

Illustration assumes both base plans are billed annually: FreshBooks Plus $464.40/year plus $11/month for each additional paid team member; Zoho Books Professional $480/year for five included users plus $2.50/month per additional user billed annually. No promotions, accountant seats, fees or add-on products included. A negative Zoho saving means FreshBooks costs less.

The cost advantage starts with your second paid team member, not your first. For one person, FreshBooks Plus costs $15.60 less per year under these annual plans. With two paid users, FreshBooks Plus costs $596.40/year while Zoho Books Professional remains $480/year. Check whether each person actually needs a paid team seat and whether both plans cover the workflows you use. Run your numbers.

Where FreshBooks Genuinely Wins

We are a Zoho Premium Partner and implement Zoho Books. That is a bias worth understanding before you read our assessment.

Invoicing and time tracking are central to the experience

FreshBooks is designed around quoting, tracking billable time, sending invoices, taking payment and following up with clients. For consultants, creative firms and other service businesses, those workflows can feel more direct than navigating a broader accounting platform. The interface and client experience are subjective, so trial both with your own invoices.

A competitive solo-user price

On comparable annually billed plans, FreshBooks Plus works out to $38.70 per month and Zoho Books Professional is $40. If you need one user, no advanced purchasing workflow and no broader Zoho integrations, the $15.60 annual difference alone would not justify a migration.

Capable accounting for service businesses

FreshBooks is not merely a template for invoices. Plus, Premium and Select support double-entry accounting, a chart of accounts, general-ledger reporting and bank reconciliation. Its accounting capabilities are real, even when Zoho Books may offer more depth for particular operational needs.

Where Zoho Books Wins

Multiple users cost less on Professional

Zoho Books Professional includes five users and is $40 per month equivalent with annual billing. FreshBooks Plus starts slightly cheaper for one user, but its published additional team-member price is $11 per person per month. For teams whose members need paid access, the subscription difference can become meaningful even at two users.

Inventory and purchasing go further

FreshBooks tracks quantities for items sold on invoices. Zoho Books Professional handles inventory alongside sales orders, purchase orders and accounting workflows. If you need warehouse management, batch or serial-number tracking, those are higher-tier Zoho Books features, not features automatically included in Professional.

No comparable FreshBooks-style billable-client cap

FreshBooks Lite supports five billable clients and Plus supports 50; Premium and Select remove that restriction. Zoho Books does not impose the same customer-count cap, but it does limit annual invoices: 1,000 on Free, 5,000 on Standard, 10,000 on Professional, 25,000 on Premium and 100,000 on Elite and Ultimate. Growth can therefore still require a Zoho plan change.

A broader connected software suite

Zoho Books integrates with Zoho CRM, Inventory, Projects and Analytics. Those native connections can reduce manual entry and support deal-to-invoice and project-billing workflows after the necessary integrations and automations are configured. These are separate applications with integration and synchronization behavior, not a single shared record requiring no setup.

What Switching Involves

Changing accounting software is a ledger project as well as an invoicing project. Scope the work before assuming the subscription savings cover it.

  • Ask your bookkeeper and choose a cutover date Confirm that your accountant supports the destination system and agree on the period, opening balances, tax treatment and reconciliation requirements before moving data.
  • Reconcile clients, invoices and unbilled time Audit customer records, open invoices, credits, payments, projects, and unbilled time. Identify work that must be invoiced before cutover versus work that needs to be represented in the new platform.
  • Choose a history strategy For many projects, importing opening balances and open transactions while preserving historical records separately is simpler than attempting a full transaction-level replay. The right approach depends on reporting, tax and audit requirements.
  • Test recurring billing and stored payment methods Recurring invoice templates, automatic charges and payment credentials may require setup or token migration. Keeping the same payment gateway can help, but does not guarantee that stored payment methods will transfer.
  • Validate before go-live Compare trial balances, outstanding receivables, bank balances and a sample of tax and customer statements. Confirm integrations, permissions and a rollback or archival plan.

So, Which Should You Pick?

Choose Zoho Books if

  • Several people need paid accounting access
  • You manage purchases, stock and sales orders
  • You need to invoice more than FreshBooks Plus's 50-client allowance
  • You already rely on Zoho CRM, Inventory or Projects
  • You want more accounting and operational workflow options as you grow

Keep or choose FreshBooks if

  • You are a solo service professional or small team
  • Client invoicing and time tracking are your daily priorities
  • Its existing portal and payment workflows work well for your clients
  • Its basic item inventory tracking is sufficient
  • Migration costs outweigh realistic subscription savings

One more option: Zoho Invoice is free for businesses that only need invoices, estimates and limited project tracking. Its published free-service limits are two users, three projects and 500 invoices annually. It does not replace a full accounting ledger.
