Trigger Choice
Project creation fires on purchase order signature rather than on deal stage, because signature is the unambiguous commitment point. Stage changes happen for administrative reasons and would have created projects for work that had not been awarded.
Folder Timing
Folders are created earlier than projects, at Account and Deal creation, deliberately. The window where documents have nowhere to go is exactly when misfiling happens, so folders exist before they are needed rather than at the moment of need.
Custom Module Over Projects
A custom CRM module rather than Zoho Projects, because the tracking required was stage and document oriented rather than task and dependency oriented. Choosing Projects would have brought scheduling machinery this contractor did not use.
Folder ID Storage
Identifiers are stored on both the Account and the project record, so document operations resolve destinations directly rather than searching by name. Name-based resolution breaks the first time a project is renamed.
Notable Constraint
Purchase orders are occasionally signed and then revised. Revisions update the existing project rather than creating a second one, with revision history retained, since two projects for one award corrupts both reporting and folder structure.
